Penultima Services is a growing estate management company serving private residences throughout the San Francisco Bay Area. We are looking for a polished, highly organized and service-minded Estate Concierge / Personal Assistant who wants to build a long-term career in private service and estate management.

This is an excellent opportunity for someone who may come from hospitality, executive or personal assisting, concierge services, events, real estate, client services, or another high-touch service environment and is ready to grow into a larger professional role.

You do not need to be already working in the Estate Management industry.

We are looking for someone who is naturally proactive, resourceful, warm, discreet and exceptionally organized. You should enjoy being out in the field, solving problems, working with vendors, interacting with clients and making sure the details of a home are handled properly.

What You’ll Do

You’ll work closely with Penultima’s leadership and support the day-to-day operations of several private residences throughout the Peninsula.

Responsibilities will include:

• Conducting scheduled property walkthroughs and documenting maintenance needs
• Coordinating and meeting vendors at client residences
• Taking photos and maintaining clear property records
• Following up on repairs, maintenance and household projects
• Receiving and organizing packages and deliveries
• Coordinating returns, shipping and occasional client errands
• Helping prepare residences for client arrivals
• Monitoring household supplies and property needs
• Assisting with seasonal and preventative maintenance
• Researching and sourcing trusted vendors and services
• Communicating professionally with clients, household staff and vendors
• Helping solve the unexpected day-to-day issues that arise in private homes

• Highly organized and naturally detail-oriented
• Professional, polished, and comfortable communicating with discerning clients
• Resourceful and able to figure things out without needing constant direction
• Comfortable taking ownership of tasks from start to finish
• Tech-savvy and comfortable using shared calendars, documents, photos and organizational systems
• Comfortable driving between properties during the workday
• Interested in homes, hospitality, operations, organization or private service
• Someone who genuinely enjoys making people’s lives easier

Experience in hospitality, executive assistance, personal assistance, concierge services, real estate, events, household staffing or high-touch client service is helpful, but we are equally interested in candidates with strong transferable skills and the right attitude.

You’ll receive hands-on exposure to professional estate management, including preventative maintenance, household systems, vendor management, client service, and private residence operations.

For the right person, this position can develop into greater responsibility managing client relationships and residences independently, with a potential path toward an Estate Manager or senior operations role as the company continues to expand.
