Events Coordinator

Job Summary The Events Coordinator supports the Firm’s initiatives by executing high-quality and engaging events and other assignments while providing outstanding client service in a fast-paced environment. This position reports to the Director, Client Development & Engagement, based in the Los Angeles office. Responsibilities Organize, coordinate, and support the execution of Firm-sponsored events – including practice group events, sponsorships, alumni events, and client-related events – from planning and development to execution and post-event follow-up. Provide logistical support such as venue and vendor research, site inspections, invitation design and distribution, menu selection, décor, staffing, and promotional items. Serve as liaison among the Office of General Counsel, internal stakeholders, and third parties to ensure seamless contracting for venues, caterers, and other vendors, maintaining version control, monitoring deadlines, and communicating requests. Establish and maintain relationships with restaurants, caterers, hotels, and other event service providers, staying abreast of new openings, closures, and rating changes. Track expenses, approvals, invoices, and post-event reconciliation to keep events within budget and assist with ROI analysis. Execute the Bay Area-based client holiday gifting program in partnership with the West Coast Client Development & Engagement and Events teams, coordinating selection, sourcing, ordering, delivery, and compliance tracking. Partner closely with other departments and offices – including Client Development & Engagement, Events, Marketing Technology, Communications, and Administration – to monitor event progress, ensure checkpoints, and maintain the Firm’s CRM integrity. Research and propose ways to optimize the event planning process, such as leveraging new technology, improving attendee experience, and identifying cost-effective approaches. Support other firm initiatives and perform additional duties as needed. Required Skills and Experience 2+ years of relevant events management experience. Excellent written and oral communication skills. Excellent planning, time management, and organizational skills. Ability to work independently and collaboratively in a demanding environment. Strong attention to detail, self‑motivation, and a commitment to producing accurate, timely, and complete work. Strong project management skills, initiative, and the ability to manage multiple projects concurrently. Strong problem‑solving and analytical skills, providing sound decisions and recommendations. Ability to build professional relationships, maintain high customer service, diplomacy, and discretion. Ability to communicate and engage with Partners, clients, colleagues, and vendors as appropriate. Positive, can‑do attitude, professional demeanor, and team‑player behavior. Ability to commute to the primary office at least four days per week and to work additional hours as needed. Ability to travel between the Palo Alto and San Francisco offices. Proficiency with Microsoft Office programs and Adobe Suite. Preferred Experience Experience in a professional services office environment. Demonstrated experience using a Client Relationship Management (CRM) system. Education Bachelor’s degree; Major in Advertising, Marketing, Communications, Public Relations, Hospitality, or a related field. Salary Information CA Only: The estimated base salary range for this position is $65,000 to $80,000 at the time of posting. The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives or performs the job. This role is non‑exempt, meaning it is overtime pay eligible. Simpson Thacher will not sponsor applicants for work visas for this position.
