CUSTOMER SERVICE COORDINATOR

Sample Coordination & Tradeshow Support

The Customer Service Coordinator is responsible for leading local NJ sample coordination on behalf of our key account(s), while assisting with national tradeshow shipment coordination. The role owns day-to-day sample inventory movement, client-facing communication, and the handoff between customer requests and our warehouse operations team. Daily updates to the transportation management system (TMS) and consistent communication — both internal and external — on order and shipment status are essential. This position reports to the Account Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Sample Coordination (Primary Focus)

•        Lead end-to-end coordination of sample inventory and shipments for assigned account(s), including pickup, delivery, returns, and condition reporting.

•        Serve as the primary point of contact for client requests related to samples (e.g., Samsung), translating those requests into clear work orders and timelines for warehouse operations.

•        Manage sample inventory accuracy in coordination with warehouse staff — including receipt, location, allocation, and outbound staging.

•        Document sample movements and maintain status visibility for internal and external stakeholders.

Tradeshow Coordination (Supporting)

•        Support national tradeshow shipment and event logistics, including inbound/outbound coordination, documentation, and on-site delivery windows.

•        Coordinate with the tradeshow team on event timelines, carrier handoffs, and venue-specific requirements.

Order Entry, Documentation & Account Support

•        Create shipment orders for local pickup and delivery scheduling, with a focus on customer requirements and coordination with accurate detail and change updates for operations planning.

•        Coordinate orders throughout the day and communicate any order changes with drivers/agents and customer representatives.

•        Review each Work Order submission for completeness and detail accuracy, engaging directly with customers to obtain any missing event information — such as show name, booth number, and targeted in/out schedules — and updating the order in WMS prior to routing.

•        Create logistics manifests for each tradeshow/event capturing all inbound and outbound orders, with line items assigned to the appropriate product team PO buckets to ensure accurate billing and reconciliation across exhibitors.

•        Build event-specific product lists identifying every requested asset along with its source, providing clear visibility into what is being shipped, from where, and on whose behalf.

•        Produce Certificate of Insurance (COI) documentation based on specific site requirements and coordinate clearance with the site prior to arrival.

•        Create monthly expense reporting with support for Amex/Visa charges and provide to corporate HQ in a timely manner.

•        Collect and scan employee weekly time sheets to send to corporate HQ.

•        Provide support to the Account Manager and the local NJ Accounting Manager on related duties as assigned.

EDUCATION AND EXPERIENCE

•        1–3 years of experience in logistics coordination, customer service, warehouse operations, or a related field.

•        Familiarity with transportation/logistics concepts; experience with TMS and WMS platforms a plus.

•        Strong communication, organizational, and follow-through skills, with the ability to manage multiple priorities under deadline.

•        Proficient in Microsoft Excel, Outlook, and Word.

•        Ability to work additional hours on occasion as needed.
