Job Title: Project Manager (PM) Department: Commercial Development + Advisory (CD+A) Reports to: SVP, VP Overview Sares Regis Group of Northern California offers a broad scope of commercial and residential real estate development management services. With our principals having over 40 years of experience providing commercial real estate services, Sares Regis has assembled a staff of remarkable talent from a broad range of related development backgrounds including urban and master planning, entitlements, architecture, various engineering disciplines, construction, project management, real estate development and financial services. We develop commercial and residential properties, primarily located throughout the San Francisco Peninsula. Our portfolio consists of a combination of fee-based consulting and management services for clients, and developments of our own, with budgets ranging from $10M to well over $1B USD. Our client base includes corporations, non-profits, universities, institutions, cities, and counties. Responsibilities Sares Regis is seeking a Project Manager to support development teams working on industrial, lab and office projects in San Mateo, CA. The Project Manager implements directions from senior leadership and the Project Director, executes tasks with a high degree of detail orientation and competency, and contributes across all phases of the development process. Familiarity with MEP systems (including chillers, UPS, batteries, generators) is preferred. This role requires a proactive individual who thrives in a fast-paced, collaborative environment and is able to juggle multiple priorities. Responsibilities for this position include: Schedule & Budget Assists with weekly and monthly internal and external reporting. Follows up with project teams for deliverables to meet schedule milestones. Supports client decision-making with research and compilation of relevant information. Supports regular updating of budget based on review and tracking of invoices. Supports weekly tracking and reporting of schedule based on review of GC schedule and field progress and identifies any delays or potential delays to Critical Path activities. Assists in developing and maintaining high-level project schedules. Design & Construction Management Supports development team with documenting user and stakeholder requirements, procuring design and construction services through RFPs, and coordinating stakeholder reviews and approvals. Reviews consultant and construction contracts and drawings for accuracy and budgeting. Coordinates and prepares notes for OAC and stakeholder meetings. Assists with equipment commissioning and BMS development coordination. Client Communications & Management Attends and prepares notes for client status meetings and reports on project progress. Procurement & Sourcing Assists in project team selection, including preparation of RFPs, coordination of interviews, comparison of proposals, and documentation of decisions. Reviews consultant proposals to ensure the required scope is included and the proposed fees are reasonable, flags potential scope gaps or risk items for senior review. Reviews invoices for compliance with contracts, including scope and fee, tracks cash flow, prepares forecasts, and prepares funding requests, as needed. General Project Management Provides project management support for one or more projects; works to gain experience across all phases of development. Prepares, manages, reviews and accurately reports on project status. Identifies issues and risks and escalates them to senior leadership. Conducts, organizes, summarizes, and reports on research and data analysis related to the project. Prepares meeting notes, organizes meetings, and follows up on action items. Proactively organizes and prioritizes tasks. Responsible for maintaining electronic project files on a real-time basis. Organizes project files to ensure complete project records are kept and filed in an orderly, easy-to access fashion. Provides document control, including prompt and clear documentation of Owner design decisions and stakeholder feedback at design milestones. Maintains version control of documents. Able to track and support multiple projects and juggle competing priorities. Desire to learn and become proficient in a variety of subjects critical to successful outcomes in real estate development, including but not limited to: California Environmental Quality Act Environmental issues and applicable regulatory agencies Real estate finance and proformas Insurance Interpreting plans and specifications Standard construction processes Bachelor’s degree from four-year College or University required. Applicable degree fields include Civil Engineering, Architecture, Economics, Business, Math, or Political Science. 2-5 years’ experience as a Project Manager (or in architecture, engineering, construction, or another related field). Exposure to MEP systems and commissioning is a plus. This is an in-person role, working on site and in Client’s offices five days a week.
