We are seeking an Office Assistant to support daily office operations, client service, record management, event coordination, and administrative activities at our North Center. Compensation Average starting salary $38,000–$43,000 annually, based on skill and experience. Essential Job Functions Operate with independence and judgment, greeting clients and visitors and setting a professional, welcoming atmosphere. Maintain accurate site occupancy, screen visitors, and follow agency guidelines. Respond to telephone and in‑person client inquiries, take messages, and assist clients in the waiting room as needed. Handle difficult calls and determine appropriate disposition using professional judgment. Monitor records and files, create and run reports, and input data into internal databases. Organize and file papers and correspondence, maintain open and closed files, retrieve and destroy records according to established procedures, and stand and move for extended periods as required. Compose and produce documents and reports using agency software packages. Receive, handle, process, record, and distribute incoming mail and packages. Register new program clients, gather information to collect payments, and record payments and client history. Makes frequent and outside contacts at all levels, gathers and disseminates information. Schedule appointments, arrange meetings, make reminder calls, and prepare for board meetings, including vendor coordination, mailing lists, and record maintenance. Set up, coordinate, and purchase items for site events; work with leadership for additional needs related to site meetings and events. Support direct service and administrative staff in agency‑wide committees and initiatives, and implement special projects, including site/community events. Operate and troubleshoot office equipment, reporting issues to the IS Department. Order and maintain office supplies and equipment, including PPE. May need to travel to other community centers or satellite offices to serve as backup support staff. Work effectively with diverse staff and service populations. Work evening and weekend hours as needed and assigned. Other duties as assigned. Qualifications High school diploma or equivalent education (required). Two years of office experience, including automated system use (required). Availability to work evening and weekend hours as needed and assigned (required). Bilingual in Spanish & English (preferred but not required). Valid driver’s license, vehicle, and insurance (preferred). Comfortable commuting to other sites for training. Intermediate computer, work, and time‑management skills. Competence in grammar, math, spelling, and oral and written communication. Effective interpersonal and problem‑solving skills. Ability to interact appropriately with diverse clients and staff. Ability to work effectively with diverse individuals and groups. Physical Demands Job requires sitting and standing for sustained periods, frequent talking, hearing, use of hands and fingers, occasional standing, bending, and kneeling. Ability to lift a child up to 50 lbs is required. Benefits Medical, dental, and vision coverage.
