Patient Registrar

Job Summary:


The Patient Registration Representative I is responsible for facilitating patient access to care by performing registration and pre-registration tasks for outpatient and inpatient accounts. This role involves calculating and securing patient financial liabilities, verifying insurance, and ensuring accurate and complete patient information is collected and entered. The position requires excellent communication, strong organizational skills, and adherence to HIPAA regulations to provide efficient, hospitable service in a fast-paced healthcare environment.

Responsibilities:

• Perform registration and pre-registration of patients, ensuring all demographic, insurance, and financial information is accurate and complete.
• Calculate and collect patient liabilities including copayments, coinsurance, and deductibles in compliance with hospital policies.
• Verify patient eligibility and insurance coverage using multiple systems and tools.
• Maintain confidentiality of patient protected health information in accordance with HIPAA and regulatory requirements.
• Provide excellent customer service by greeting patients warmly, answering phones promptly, and assisting with inquiries.
• Assist in screening patients for Hospital Presumptive Eligibility and Uncompensated Care programs as applicable.
• Ensure timely completion of registrations, including emergency department and outpatient registrations within required timeframes.
• Prepare and organize necessary paperwork, orders, and forms to expedite patient registration processes.
• Communicate effectively with patients, providers, insurance companies, and internal departments.
• Follow all departmental policies and procedures, maintaining a minimum accuracy rate of 95% for registrations.
• Utilize positive collection techniques to secure payments while complying with EMTALA and hospital policies.
• Participate in performance improvement initiatives and maintain up-to-date knowledge of policies and procedures.
• Maintain a clean, safe, and professional work environment and adhere to attendance and punctuality standards.
• Assist with additional duties as assigned to support departmental operations.

Required Skills & Certifications:

• Minimum one year experience in a high-volume healthcare facility, medical office, or hospital registration setting.
• High school diploma or equivalent required.
• Strong written and verbal communication skills.
• Proficiency with computers, including Microsoft Word, Excel, and ability to navigate multiple systems efficiently.
• Knowledge of medical terminology and insurance billing processes.
• Ability to type at least 45 words per minute.
• Strong attention to detail and organizational skills.
• Ability to maintain patient confidentiality and comply with HIPAA regulations.
• Valid driver's license and ability to travel to off-site outpatient locations.

Preferred Skills & Certifications:

• Bilingual proficiency in Spanish or Chinese (Mandarin).
• Experience with medical billing or insurance verification.
• Prior experience in customer service within the medical industry.
• Knowledge of Hospital Presumptive Eligibility and Uncompensated Care programs.

Special Considerations:

• Must adhere strictly to HIPAA and patient confidentiality laws.
• Ability to work under pressure in a fast-paced, high-volume environment.
• Responsible for timely registration of emergency department patients to ensure compliance with medical screening and consent requirements.
• May be required to use translation services or systems to communicate with non-English speaking patients.
• Professional appearance and adherence to departmental dress code required.

Scheduling:

• Five 8-hour shifts per week, scheduled from 08:30 to 17:00.
• Weekend work is required.
• Initial training schedule is Monday through Friday, 9:00 to 17:00 for the first two weeks.
• Shift assignments and schedules may be adjusted based on departmental needs and census fluctuations.
