POSITION TITLE: Administrative Assistant for Human Resources JOB GOAL: Support district administration and district support staff in conducting daily operations of the office including support in the accomplishment, completion, and compliance associated with such tasks.
QUALIFICATIONS:
1. Skilled user of MS Office Products (Word, Excel, PowerPoint).
2. Knowledge of human resources and general office management.
3. Proficient in the use of human resources management software to include spreadsheets and database management.
4. Highly skilled at promoting good public relations.
5. Good judgment and ability to maintain confidentiality.
6. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. REPORTS TO: Executive Director and Chief School Business Official PERFORMANCE RESPONSIBILITIES:
1. Monitors completion, maintains, and validates accuracy of personnel records required for employment including signed contracts, transcripts, certificates, pension, and W-4 tax forms.
2. Coordinates tasks pertaining to the recruitment, interviewing, and selection of employees.
3. Supports the Executive Director in on-boarding new employees and assists with exiting staff members.
4. Monitors and processes unemployment and workers' compensation claims.
5. Works collaboratively with the Executive Director to process district employee leave requests, including FMLA.
6. Assists in preparing state reporting requirements (Ex: EIS Employment Report).
7. Serves as primary contact for absences for the district and enters employee sick, personal, vacation, and bereavement annual allotment in the district absent management system.
8. Assists with employee retention efforts including safety and wellness initiatives.
9. Supports Executive Director in managing transcripts and record keeping of lane movement.
10. Monitors and processes certified staff continuing education approval requests and tuition reimbursement.
11. Receives vacancy notices and posts vacancies on the employment application portal.
12. Assists with preparation with support staff seniority lists and certified staff sequence of dismissal.
13. Manages district required compliance training for state and local mandates as relates to OSHA and human resources (ex: GCN Training).
14. Monitors and maintains the human resources area of the district website to ensure all information and forms are up to date.
15. Verifies appropriate certification and/or licensure of certified and support staff.
16. Organizes and tracks submission of performance evaluations for all certified and classified personnel.
17. Assists the district office with district-wide and community communications.
18. Trains and supports building office personnel in the consistent human resource functions.
19. Attends professional development on human resources as required or needed.
20. Performs other tasks and assumes such other responsibilities as may from time to time be assigned by the Superintendent, CSBO, Executive Director, or Board of Education.
