Key Responsibilities

• Sort, distribute, and process incoming and outgoing mail, packages, FedEx, and Certified Mail
• Perform floor runs and deliveries across multiple office floors
• Operate mail metering equipment and process postage requirements
• Complete copy, print, scanning, binding, and document production requests
• Supply and maintain copy centers and office equipment areas
• Perform court runs after completing required training
• Handle highly sensitive and confidential legal documents
• Operate high-volume copy, scanning, and mail processing equipment
• Use document imaging and image handling software
• Maintain copier functionality, clear paper jams, and coordinate equipment service requests
• Perform quality control checks on completed projects and legal documents
• Manage document scanning, file conversion, file naming, and electronic document organization
• Perform OCR processing and support keyword-searchable document creation
• Manage table of contents (TOC) and electronic file formatting
• Support FTP file transfers and electronic file management
• Coordinate shipping and receiving activities for materials and legal documents
• Maintain service logs, inventory records, and billing documentation
• Assist legal secretaries, paralegals, associates, project managers, and partners with service requests
• Support off-site project coordination when required
• Maintain records, archives, and document retention processes
• Perform additional operational and administrative duties as assigned

Required Qualifications

• 1+ years of experience
• High School Diploma, GED, or equivalent work experience
• Ricoh Legal Training (completion within 90 days of hire and ongoing training requirements)
