SourcePro Search
SourcePro Search has a fantastic opportunity for a Conflicts Analyst with our top rated law firm client in their New York office. This role is hybrid (remote on Monday & Friday) and offers a competitive base, excellent growth potential and a fantastic firm culture. The ideal candidate will be primarily responsible for the timely and accurate review and processing of new business intake forms and the production of conflicts of interest reports relating to various types of conflicts check requests. Additionally, the Conflicts Analyst will be required to, on a routine basis, maintain and update, as is necessary, the Firm’s conflicts database, namely Upfront, a conflicts of interest management system/platform in the Fulcrum GT™ business management system. In conjunction with these duties, the Conflicts Analyst also will be required to assist the Conflicts team in following up and addressing with the responsible engagement and billing partners, requesting attorneys and/or their assistants any issues concerning preliminary conflicts checks, Upfront new business submissions and all other miscellaneous conflict check requests so as to process them accurately and expeditiously. Additionally, if necessary, and upon request from the Conflict Counsel, the Firm’s General Counsel and/or other senior members of the Conflicts team, the Conflict Analyst also will be required to assist in following up with attorneys and/or their assistants to clear any flagged conflicts search results hits. What You’ll Do: Generate conflicts search reports with respect to new client submissions, new matters for existing clients, preliminary conflicts checks, pro bono matters, non-billable files, prospective lateral candidates/new professional hires and all other miscellaneous submissions/conflicts check requests necessitating searches on any listed/corresponding party information. Conduct initial corporate research on New Client submissions and, when required, the adverse parties corresponding to and listed on a particular conflicts check request or Upfront submission using multiple online sources and any available Firm-provided corporate research tools, including but not limited to Dun & Bradstreet and LexisNexis. Conduct, when necessary, additional corporate research/family tree affiliations searches (using the same resources described above) when assisting the Conflicts Counsel, the General Counsel and/or other lawyer(s) within the Conflicts team in the review and analysis of generated conflicts reports. Carefully, accurately and in a timely manner, review and process, upon receipt, all new business submissions in Upfront for new and existing clients (including generating conflicts reports, conducting any required corporate research on the listed parties to the submission, resolving any noted data entry errors/omissions in the these forms/tickets, attaching any corresponding documentation such as corporate research, waivers, engagement letters, outside counsel guidelines, attorney responses, etc.), and clearing the entire matter alone or putting same together for final review and clearance by the Conflicts Counsel, General Counsel and/or other lawyer(s) within the Conflicts team. Assist, upon request, the Conflicts Counsel, General Counsel and/or other lawyer(s) within the Conflicts team with clearance of flagged potential conflicts as it concerns prospective matters, new file submissions and potential new professional hires. Summarize, upon request, any issues or potentially problematic hits based on generated conflicts search report results. Research, upon request, various print and online resources so as to help identify and resolve potential conflicts. Document, track and keep a record of all assigned and subsequently cleared/approved conflicts clearance projects/matters. Assist the General Counsel, Conflicts Counsel and/or other lawyer(s) within the Conflicts team, on an as requested basis, in the drafting of screening memoranda (and, if necessary, the subsequent implementation and maintenance of ethical walls), engagement letters and/or waivers. Create, track and document all existing and new special conflicts notices. Track and document the receipt of all executed engagement letters and advance waivers on an as needed and requested basis. In addition to maintaining and updating the Firm’s conflicts database/conflicts management system, assist in the further development and maintenance of any internal electronic repository containing important and confidential client file information as well as information on all corresponding parties to the subject client files/engagements. Work closely with the Firm’s Records and/or Accounting/Billing Departments to ensure that the conflicts database matches the records and accounting databases. Perform other miscellaneous conflicts-related tasks as may be assigned by the Conflicts Counsel, General Counsel and/or other senior members of the Conflicts team. What You’ll Bring: A 4-year degree from an accredited college or university (or an equivalent combination of education and related experience); law school graduates are welcome to apply. A minimum of 2 years of related conflicts research and/or analysis experience, preferably gained with another sophisticated mid-size or large law firm in New York. Working knowledge of the ABA Model Rules of Professional Conduct is highly preferred, but not required. Willingness to learn various ethics and conflicts-related rules and principles is highly preferred. Experience with automated/electronic conflicts of interest management/checking systems (and running and filtering conflicts searches under same) as typically employed by sophisticated law firms with risk/compliance/conflicts departments is preferred. Experience with Upfront (a conflicts of interest management system/platform in the Fulcrum GT™ business management system) in particular is preferred. Experience with conducting corporate family tree research via Internet and print sources as well as through various online company research outlets/tools, including, but not limited to Dun & B Hoovers, Thomson One, Bloomberg Business, etc. is preferred. Experience with researching and gathering corporate affiliation/parent-subsidiary information through public filings such as annual reports and proxy statements as may be found on Company websites and on the SEC, OTC Markets and the various stock exchange sites is preferred. Proficiency in Outlook and MS Office Suite products. Ability to synthesize and report on a large flow of information and documents and keep accurate and up-to-date records in an electronic format. Ability to employ the utmost care and use discretion when handling, accessing or otherwise being privy to sensitive and confidential client information. Strong interpersonal and verbal communication skills as well as the ability to interact with and form a professional rapport and good working relationships with not only the members of the Conflicts team (including the Conflicts Counsel, General Counsel, Chief Operating Officer and other senior members of the Conflicts team) but also with employees at all levels of the Firm (especially Firm attorneys and their support staff). Strong written skills to effectively communicate with Firm attorneys and their assistants and various Firm departments via email communication. Strong computer, research, analytical, and proofreading skills. Strong organizational and time management skills and exceptional attention to detail. Ability to prioritize, multi-task and work in a fast-paced environment. Ability to work expeditiously under pressure, meet tight deadlines and be consistently client focused. Ability and willingness to work in a team-oriented culture/environment. Ability to employ independent and sound judgement to successfully accomplish assigned projects. Willingness to work outside of normal business hours when asked to do so or when the needs of the Conflicts department may necessitate same is highly preferred. Environment: Professional, team-focused and very collegial.
