Position Summary

The Lead Patient Care Coordinator oversees daily front office operations, supports and mentors administrative team members, and ensures a seamless patient experience from check-in through follow-up care. This role serves as a vital connection between patients, providers, volunteers, and administrative systems to maintain effective clinic operations.

Essential Duties & Responsibilities

• Lead and oversee daily front office operations, including scheduling, patient flow, and administrative processes.
• Ensure patients receive a welcoming, compassionate, and professional experience while addressing concerns with empathy and respect.
• Train, mentor, and support front office staff while promoting teamwork and adherence to clinic standards.
• Manage patient records, scheduling, and HIPAA-compliant data entry using Dentrix or similar dental software.
• Coordinate referrals, lab cases, treatment plans, and post-operative follow-up processes.
• Review staffing schedules in advance, identify coverage needs, and coordinate temporary staffing support when necessary.
• Maintain organization of the front office, including supplies, records, and compliance with clinic policies and procedures.
• Assist with reporting, patient surveys, testimonials, and initiatives that support clinic growth and community impact.
• Communicate effectively with dental staff, volunteers, patients, and external partners to support daily operations.
• Promote a positive, mission-driven environment focused on quality patient care and service.

• Proficiency in Microsoft Office Suite, including Excel and PowerPoint.

Experience & Education

• High school diploma or equivalent required.
• Minimum of 3–5 years of administrative, healthcare, or dental office experience.
• Prior experience in a leadership, lead, or supervisory role preferred.
• Experience working with Dentrix required.
• HIPAA certification provided by the organization.

Schedule & Working Conditions

• Full-Time, Monday–Friday, 8:00 AM–5:00 PM.
• Position requires standing, walking, bending, and occasional lifting up to 30 lbs.
• Work may include both indoor and outdoor clinic-related activities.
• Successful completion of a background check required.
