Executive Assistant - Vanderbilt Bedford Hospital, Shelbyville, TN

Job Summary The Executive Assistant provides high-level administrative and operational support to the Bedford Hospital C‑suite. This role is critical in ensuring the efficiency, organization, and effectiveness of executive-level operations, requiring exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast‑paced healthcare environment. The individual will manage complex and high‑volume calendars, serve as a gatekeeper to ensure executives remain on track and well-prepared, and facilitate communication between executive leadership, physicians, staff, and other hospital leaders, ensuring alignment and efficient information flow across departments. Preferred Skills & Experience Prior experience in a healthcare or hospital setting strongly preferred Proficiency in Microsoft Office Suite, with advanced skills in Excel and PowerPoint Experience with Workday and UKG (or similar HRIS/timekeeping systems) Strong organizational, multitasking, and problem‑solving abilities Ability to perform effectively under pressure and manage competing priorities with professionalism Key Responsibilities Ensures financial resources are utilized effectively. Manages the administrative and business details of the office(s). Manages daily operation of the area. Exercises authority as delegated, reflecting independent judgment and discretion in the performance of duties and special projects. Other duties may be assigned as described. Technical Capabilities Human Resources Policies and Procedures (Intermediate): Knowledge, adherence, and application of HR policies and procedures. Ad Hoc Reporting (Intermediate): Ability to access information from databases and prepare reports. Peer Leadership (Intermediate): Ability to show leadership and influence people of equal rank to accomplish team goals. Clerical/Administrative (Advanced): Includes clerical and administrative functions such as Calendar Maintenance, Data Entry, Document Preparation, Employee Record Maintenance, Travel Arrangements, Word Processing and Typing, etc. Financial Processes (Intermediate): Ability to monitor costs, expenses and revenue and manage those costs relative to budgeted amounts. Position Qualifications Relevant Work Experience: 4 years or more. Education: Bachelor’s degree.
