Bilingual HR Support Specialist (Spanish)

We are seeking a detail-oriented, bilingual (English/Spanish) Operations Assistant to join our team and support the Operations Department. This position plays a critical role in ensuring the smooth day-to-day operations of the department by providing comprehensive administrative, clerical, and operational support. Reporting directly to the General Manager, the Operations Assistant will act as the first point of contact for internal and external inquiries and will be instrumental in coordinating staffing, payroll, inventory management, and other essential operational functions.

This role is ideal for someone who is customer-focused, proactive, and capable of managing multiple tasks efficiently. The selected candidate will work closely with employees and managers, ensuring that department processes run seamlessly, and will become a vital part of our operational success.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Administrative Support:
Answer incoming calls professionally and courteously, redirecting inquiries appropriately.
Perform general word-processing tasks including memos, correspondence, reports, and presentations.
Manage incoming and outgoing mail distribution and ensure departmental files are properly maintained.
Coordinate off-site storage for department documents as needed.
Relieve Receptionist when required.
Staffing and Recruitment:
Oversee and coordinate recruitment efforts for both temporary and permanent positions.
Screen, interview, and hire qualified candidates.
Dispatch temporary employees to fill vacant positions as required.
Conduct New Hire Orientations for both permanent and temporary employees.
Verify past employment for potential hires and maintain applicant logs.
Update and maintain records for temporary employee assignments and staffing needs.
Operations Support:
Procure uniforms and office supplies, ensuring inventory is stocked and managed effectively.
Maintain comprehensive fuel and gas card usage reports.
Manage pager activation, billing, and reporting processes.
Collaborate with unions for staffing lists and position postings.
Payroll Administration:
Verify time sheets and ensure temporary employees are paid accurately and on time.
Distribute temporary employees' paychecks to their respective work locations.
Data Organization & Reporting:
Ensure accurate data entry into spreadsheets, databases, and other departmental systems.
Develop and maintain reports and updates for departmental projects and initiatives.
Special Projects & Marketing:
Support online marketing initiatives as needed.
Assist with special requests and projects as assigned by management.
QUALIFICATIONS:

Bilingual proficiency in English and Spanish is required.
Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
Exceptional organizational skills and attention to detail.
Strong interpersonal and communication skills, with the ability to interact with employees and managers professionally.
Prior experience in payroll administration is preferred but not required; willing to train the right candidate.
Proven ability to multitask and manage competing priorities in a fast-paced environment.
High degree of professionalism and confidentiality.
COMPENSATION:

$28.00/hour
