Accounts Payable Specialist (Miami)

Club Med is currently seeking a skilled and dedicated Accounts Payable Specialist to handle accounts payable tasks, process invoices, and assist in maintaining accurate financial records. The individual will also be responsible for effectively communicating with clients to follow up on payments or credits, allocate monies to files and provide other necessary administrative tasks. We value proficiency in financial software, attention to detail, and a commitment to adhering to financial policies and standards. Good communication skills are necessary.

Key Responsibilities

Invoice Processing

• Review and verify vendor invoices for accuracy, completeness, and compliance with company policies.
• Code and enter invoices accurately in the accounts payable system.
• Perform purchase order validations and three-way matching.
• Apply knowledge of applicable tax regulations, including sales and use tax and VAT, when relevant.

Payment Processing

• Prepare and process vendor payments by check, ACH, or wire transfer.
• Maintain accurate payment records and schedules.
• Respond to payment inquiries and resolve vendor discrepancies promptly.

Vendor Management

• Validate new supplier setups in Coupa for the North America Zone.
• Maintain accurate vendor records in Coupa, including addresses, banking details, and contact information.
• Develop and maintain positive, professional supplier relationships.
• Address vendor inquiries and resolve issues promptly and professionally.
• Collaborate with Procurement and other departments to resolve vendor-related matters.

Reconciliation

• Reconcile AP transactions with vendor statements to ensure accuracy and completeness.
• Reconcile and apply payments to clear the prepayment account.

Compliance and Reporting

• Ensure compliance with internal policies and applicable external regulations.
• Prepare reports and supporting documentation for internal and external audits, as needed.

Process Improvement

• Identify and recommend opportunities to strengthen accounts payable processes.
• Contribute to projects that improve operational efficiency, accuracy, and internal controls.

Qualifications / Skills

• Associate or bachelor’s degree in accounting, Finance, Business Administration, or a related field preferred.
• Minimum of five years of accounts payable experience.
• Hands-on experience with Oracle Cloud and Coupa.
• Proficiency in accounting software and Microsoft Office, particularly Excel.
• Strong attention to detail and commitment to accuracy.
• Excellent written and verbal communication and interpersonal skills.
• Ability to work independently and collaborate effectively within a team.
• Strong analytical, organizational, and problem-solving skills.
• Bilingual proficiency in English and Spanish.
• Knowledge of applicable accounting principles and regulatory requirements.
