Senior Administrative Assistant
LHH is partnering with an organization in Baltimore to identify an experienced Senior Administrative Assistant for an immediate temporary opportunity. This role supports senior investment professionals and serves as a key partner in managing executive operations, client coordination, and day-to-day business functions.
Location: Baltimore, MD (5 days a week onsite)
Compensation: $28–$36/hour
Duration: 6-Month Contract with Potential for Permanent Conversion
Start Date: ASAP
Key Responsibilities
Executive & Administrative Support
- Provide high-level administrative support to senior leadership and investment professionals
- Manage complex and frequently changing calendars, scheduling priorities, and meeting coordination
- Serve as a gatekeeper by prioritizing requests and managing competing demands
- Coordinate communications including calls, emails, and correspondence on behalf of the team
- Prepare, edit, and format presentations, reports, and meeting materials
- Anticipate team needs and proactively support day-to-day operations
- Support internal workflow management and assist with special projects
Client & Meeting Coordination
- Serve as a point of contact for client inquiries when team members are unavailable
- Coordinate client meetings, including scheduling, logistics, agendas, and follow-up materials
- Maintain accurate client records and activity tracking within CRM systems
- Support onboarding activities and account updates
- Help ensure a seamless and professional client experience
Travel & Expense Management
- Coordinate domestic travel arrangements, itineraries, accommodations, and transportation
- Optimize travel schedules for efficiency
- Track, reconcile, and submit expense reports in a timely manner
Operations & Team Support
- Coordinate with internal departments to ensure timely completion of requests
- Maintain and organize confidential records and business documentation
- Assist with reporting, data management, and administrative projects
- Monitor deadlines and ensure deliverables are completed accurately and on time
- Support planning and execution of team meetings, events, and client functions
- Assist with internal events, client appreciation activities, and team engagement initiatives
Qualifications
- 2+ years of experience in an Administrative Assistant, Executive Assistant, or related support role
- Experience supporting senior leaders or client-facing teams preferred
- Financial services, banking, wealth management, or professional services experience strongly preferred
- Strong organizational and multitasking skills with excellent attention to detail
- Excellent written and verbal communication skills
- Ability to handle confidential information with discretion and sound judgment
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)
- Bachelor’s degree preferred
