Accounts Payable Clerk

Principal Duties and Responsibilities

Essential functions include, but are not limited to, the following:

• Accurately and efficiently enter invoice and payment data into applicable systems.
• Follow established accounts payable processes and procedures to ensure invoices are processed accurately and timely.
• Collaborate with department heads and internal stakeholders to obtain necessary approvals and documentation for timely invoice processing.
• Review and reconcile vendor statements against invoices and payments to ensure account accuracy.
• Research, track, and resolve discrepancies related to invoices, payments, and vendor accounts.
• Communicate professionally and effectively with vendors and internal team members regarding invoice and payment inquiries.
• Maintain existing vendor accounts and assist with the setup and maintenance of new vendors in accordance with company policies and internal controls.
• Process stop-payment and void-check requests accurately and in a timely manner.
• Assist with month-end closing activities, reconciliations, and related reporting.
• Support special projects and other accounting-related initiatives as assigned.
• Maintain a high level of accuracy, confidentiality, and compliance with established internal controls.

Education and Experience Requirements

• High school diploma or G.E.D. required.
• Minimum of two years of clerical, administrative, accounting, or related experience.
• Strong attention to detail and commitment to accuracy.
• Excellent organizational and time-management skills.
• Strong interpersonal skills with the ability to effectively interact with individuals at all levels of the organization.
• Excellent verbal and written communication skills.
• Ability to follow established processes and procedures while exercising sound judgment when resolving discrepancies.
• Understanding of basic internal controls and the importance of maintaining accurate financial records.

Preferred Qualifications

• Previous experience with AS400 or similar accounts payable/ERP systems.
• Experience with Concur, Synergize, or comparable invoice-processing systems.
• Proficiency with Microsoft Excel and Microsoft Office applications.
• Familiarity with accounts payable processes, procedures, and best practices.
• Strong computer skills and the ability to learn new software systems quickly.
