We are seeking a motivated and outgoing Customer Service and Administrative Specialist to join our team. This role is the primary point of contact for our customers and handles the essential front-office coordination that keeps our business running smoothly. It is a fantastic entry point into our company, focusing squarely on providing exceptional client service, highly accurate order entry, and daily administrative support to executive leadership. While you will be focused heavily on customer accounts and office administration to start, there is long-term potential to learn additional facets of our business operations over time. This is not a remote position. Schedule is Monday to Friday, 9:00 AM to 5:30 PM in office. The Position: Communicate with customers via phone and email regarding orders and inquiries Review customer purchase orders and sales order entry into our ERP system. Generate and deliver customer quotes, track pricing tiers, material specifications and lead times. Address and resolve customer concerns with a professional attitude Proactively communicate order status, resolve delivery issues, and handle account inquiries. Shipping logistics via UPS and freight carriers including quoting, preparing shipping paperwork, filing claims, and generating reports Update and maintain Sage 100 ERP Coordinate and manage a running list of projects, priorities, and calendar items Maintain email accounts, contacts, and calendar Format, prepare, edit information and correspondence for internal and external communication such as memos, emails, presentations, and reports Maintain accurate electronic and physical office files, ensuring key account and operations data is organized and accessible. Maintain a clean, organized office environment, coordinating office supply orders and incoming/outgoing mail. Other tasks as assigned Qualifications and Requirements: Three to five years of administrative experience. Experience in a manufacturing setting is a strong plus. Excellent oral and written communication skills Exceptional computer skills including Microsoft Word, Excel, and Outlook (computer skills will be tested during the interview process) Hands-on proficiency using Sage 100 or a comparable ERP system for data entry, order placement, and inventory lookup is highly desirable Familiarity with domestic freight carriers (LTL/FTL), shipment tracking, and bill of lading generation Must be detail-oriented and accurate with work Highly organized with excellent time management skills and the ability to prioritize projects We are looking for someone that is a problem solver and a self-starter.
