Accounting Administrator

Position Summary The Accounting Administrator supports the accounting and project teams by handling high-volume invoice processing and ensuring proper documentation across construction projects. This role plays a key part in vendor coordination, and day-to-day administrative accounting functions in a fast-paced construction environment. Key Responsibilities Accounts Payable & Invoice Processing Process high-volume vendor and supplier invoices for multiple construction projects Review invoices for accuracy and approvals Match invoices to purchase orders and verify quantities and pricing Ensure proper coding to job cost accounts, general ledger, and cost categories Job Cost & Project Support Collaborate with Project Managers to ensure invoice accuracy and proper cost allocation Help reconcile vendor statements and identify discrepancies Respond to vendor inquiries in a timely and professional manner Maintain positive working relationships with vendors and internal teams Administrative & Accounting Support Enter and process invoices, expense reports, and allowances Maintain and organize accounting records (digital and paper) Scan, copy, and file invoices, contracts, lien waivers, and related documents Ensure all documentation is complete, accurate, and audit-ready Provide general administrative support to accounting and project teams Month-End & Reporting Support Assist with basic month-end close activities, including data entry and filing Support accounting team with reconciliations and documentation as needed Qualifications 2+ years of accounting or administrative experience, preferably in construction or job-cost accounting Familiarity with accounting software (e.g., QuickBooks, Acumatica) Understanding of job cost structures, purchase orders, and invoice workflows Strong attention to detail and organizational skills Ability to manage multiple priorities in a fast-paced environment Proficient in Microsoft Excel and general office software Strong communication and teamwork skills Health, dental and vision insurance 401k plan with company match Collaborative and inclusive work environment Note This job description is intended to convey information essential to understanding the scope of the position and is not an exhaustive list of skills, efforts, duties and/or responsibilities.
