Description Marketing Coordinator Minneapolis, MN Department: Marketing Reports To: Director of Marketing Classification: Non-exempt Status: Regular, Full time Direct Reports: None Salary Range: $23.08/hr to $25.00/hr ($48,000 to $52,000 annually) Position Summary The Marketing Coordinator plays a critical role in coordinating projects across the organization, with a primary focus on supporting the Marketing team. This position manages multiple, concurrent projects in a fast-paced, deadline-driven and revenue-focused environment, ensuring work is executed efficiently and on schedule. Success in this role requires exceptional organizational skills, flexibility, adaptability, attention to detail and a process improvement mindset. In addition to project coordination, the Marketing Coordinator supports marketing product leads in the execution of integrated marketing campaigns that drive ticket revenue, audience growth and customer engagement. About the Minnesota Orchestra The Minnesota Orchestra is a Grammy Award‑winning orchestra known for acclaimed performances in Minnesota and around the world, a storied history of recordings and radio broadcasts, innovative educational engagement programs and a commitment to new orchestral music. Founded by Emil Oberhoffer in 1903 as the Minneapolis Symphony Orchestra, the organization was the eighth major orchestra established in the United States. In 1911, it began a series of children's concerts under the sponsorship of the Young People's Symphony Concert Association (YPSCA), which continues to this day. Early in the 1920s, the orchestra was one of the first to be heard on recordings and on the radio, playing a nationally broadcast concert with guest conductor Bruno Walter in 1923. In 1968, the orchestra changed its name to the Minnesota Orchestra (or Minnesota Orchestral Association). Today the Orchestra performs a wide variety of music including nearly 175 concerts in a typical year, primarily at Orchestra Hall in downtown Minneapolis, the organization’s home since 1974. The Orchestra is led by Music Director Thomas Søndergård and has historically toured regularly throughout Minnesota, nationally and abroad. The Minnesota Orchestra has an annual budget of $42.6M and ended FY2024 with net assets of $185.5M. The organization employs over 150 FT employees and over 100 PT staff and is supported and governed by an 80+ member Board of Directors. In 2024-25, 237,875 guests attended in‑person concerts; with audio streaming, digital concerts, TV and radio broadcasts included that number reached more than 2.5 million people. Essential Functions and Day‑to‑Day Work 50% Project Coordination/Marketing Operations Work with internal team to coordinate, schedule and track multiple communication projects simultaneously. Identify opportunities to adjust and revise work processes to increase efficiency. Serve as primary administrator of project management system (Basecamp); open and close all job orders; coordinate all creative pick‑up and kick‑off meetings. Document job details and requests that are introduced and discussed in team meetings. Proactively communicate potential problems to project teams and provide proposed solutions. Proactively communicate any changes and updates to projects as they occur. Create production calendars to effectively track jobs. Coordinate printing, signs‑off on approval proofs as necessary, verifies print quantities and ensures timely delivery of all materials. Ensure all printed and produced collateral are delivered to correct locations and departments. Coordinate material distribution and maintain brochure racks in partnership with Audience Services team. Coordinates delivery of material requests from external partners. Oversee material storage and tracks inventory. Coordinate and maintain lobby and venue signage needs, overseeing production and installation of signage. Coordinate marketing digital signage for Orchestra Hall. Coordinate production and distribution of promotional items and signage for off‑site community outreach events (Symphony for the Cities, Pride, etc.) working closely with Events Manager to determine needs for each event. 30% Marketing Campaign Execution & Support Support and implement subscription and single‑ticket campaign tactics in alignment with revenue goals and marketing strategy at the direction of marketing leads. Support grassroots marketing initiatives and identify opportunities to grow $20 under 40, Hall Pass and Choose Your Price ticket sales. Coordinate cross‑promotional partnerships to expand brand visibility and audience reach. Create, manage and track all promo codes in collaboration with marketing leads and TSD staff. 20% Administrative/Concert‑Related Duties Create and pull targeted lists from Tessitura for marketing campaigns as needed. Create purchase orders in Concur for marketing department projects as assigned. Working with Finance Department, ensure that postage account balance is funded for projects as needed; routes monthly usage report to managers for approval. Provide back‑up support to senior website manager and email marketing specialist as needed. Provide administrative support as needed to Director of Marketing. Staff concerts and events as needed. Work Environment The Minnesota Orchestra is primarily a place‑based organization, offering hybrid schedules that require in‑person, on‑site work. This role requires up to three days of in person, on‑site work each week. Permission is required for applicants and current employees seeking to reside outside of the Twin Cities metropolitan area or more than 60 miles from Orchestra Hall. While working on site at Orchestra Hall or the administrative offices, work is performed in an open office environment with moderate noise levels in a cubical desk configuration and in a performing art building on stage, in a lobby or other location within the facility, and occasionally in an outdoor environment for outdoor concerts, or other activities. While performing the duties of this position, incumbents may be required to do all or some of the following, with or without accommodation: Sit or stand at a desk, counter, or other work surface Talk and/or hear spoken words, music, or other sounds Use hands or fingers to handle or touch objects around them Review documents, monitors, or displays with potentially small print Operate a computer, phone and other common office tools or controls Mental focus on tasks and apply sound reasoning and judgement Work in or attend meetings or other events in any of the Orchestra locations or other sites as necessary Lift/move objects (such as files, packages, props, or office equipment) or ensure objects are lifted/moved that may weigh up to 15 lbs. The typical workdays and hours for the organization are Monday – Friday, 8:00 am – 5:00 pm with the possibility of extended evening, weekend or holiday hours. The incumbent will work at minimum 40 hours in a given week. Workdays and hours for this position will fluctuate based on the schedule of concerts or events and work deliverables. Schedules will be created in collaboration with the incumbent in advance. In this nonexempt position, work is expected to be delivered within established deadlines and quality standards within a specific time period/shift for each employee.
