Program Support Assistant (Caregiver Support Program)

Summary The VA Greater Los Angeles Healthcare System is seeking a highly organized and motivated Program Support Assistant to provide essential administrative, clerical, and program support to the Caregiver Support Program (CSP). In this role, you will perform a wide range of administrative and operational duties that ensure accurate application processing, efficient workflow, compliance with program requirements, and high-quality service to Veterans, caregivers, and staff. Learn more about this agency Duties Help Duties include but are not limited to: Provide comprehensive clerical, administrative, and business support to the Caregiver Support Program to ensure smooth and efficient daily operations. Manage the intake, receipt, indexing, and secure transmission of health and administrative documents in accordance with VHA privacy and security requirements. Track and monitor application status, wellness visits, program census, and other operational data needed for CSP workflow and performance measures. Collect, organize, and review workload and fiscal reports to ensure accuracy and completeness in support of program reporting requirements. Prepare correspondence, written reports, official memos, meeting minutes, and other program documents using proper VA formatting standards. Maintain calendars, schedule meetings, coordinate administrative activities, and assist with prioritizing tasks across CSP staff and multiple service locations. Provide professional customer service to Veterans, caregivers, VA staff and the public by responding to inquiries, assisting with navigation of CSP processes, and ensuring clear and courteous communication. Support data analysis activities by creating and maintaining internal databases, retrieving data, and generating reports for program evaluation and management decision-making. Serve as Fund Control Point Clerk by processing supply and equipment requests, maintaining inventory records, and supporting procurement and fiscal responsibilities in alignment with VA policy. Perform TMS coordinator duties including account updates, entering training credits, managing employee profiles, assisting staff with TMS functions, and running required training and compliance reports. Be the liaison with VA or non-VA entities to complete administrative tasks that are in support of CSP operations. Responsible for timekeeping functions Coordinate incoming data from a variety of sources. Act as a Personal Identity Verification (PIV) Sponsor for PIV Card applicants. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/20/2026. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized Experience: Applicants must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Example of specialized experience would typically include, but are not limited to: Experience receiving, reviewing, and filing documents; maintaining records; and performing data entry into tracking systems or databases, preparing routine correspondence, standard reports, meeting notes, or memos using correct spelling, grammar, and established formats. Experience using common office software such as Word, Excel, or databases to enter information, prepare documents, or generate simple reports. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4-year course of study above high school leading to a bachelor's degree with courses related to the occupation. OR, Combination: Applicants may also combine education and experience to qualify at this level. For GS-5 level positions, only education in excess of the first 60 semester hours of a course of study leading to a bachelor's degree is creditable toward meeting the specialized experience requirements. Two full academic years of study, or 60 semester hours, beyond the second year is equivalent to 1 year of specialized experience.GS-06
Specialized Experience: Applicants must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the Federal Service with the knowledge, skills, and abilities to perform successfully the duties of this position. Example of specialized experience would typically include, but are not limited to performing more complex and independent administrative and program support duties such as reviewing, tracking, and compiling program data; coordinating the secure intake and processing of sensitive documents; and preparing a variety of formatted reports, meeting minutes, and official correspondence with a high degree of accuracy. Experience also includes analyzing program information to identify discrepancies or trends; assisting with budget or purchasing activities such as processing supply requests or maintaining inventory. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note : A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Preferred Experience: Experience as a Program Support Assistant within a clinical service is highly preferred. Physical Requirements: The work is primarily sedentary and involves activities such as sitting, standing, bending, and stooping. The employee may occasionally need to retrieve records from files and carry light items such as files, manuals, or other materials. The position may also require occasional travel to support conferences, workgroups, programs, or meetings.
