As a Senior Administrative Assistant, Operations, you will be a trusted partner to multiple operational managers and leadership team members across our Western operations. This role is essential for ensuring efficient business operations and seamless workplace execution, directly supporting our teams who deliver complex electrical infrastructure projects. Your high-level administrative, operational, office, facilities, event, and vendor coordination support enable our employee-owners to succeed.

Manage complex calendars, scheduling meetings, and coordinating conference registrations for multiple operational leaders.

Arrange detailed travel plans, prepare expense reports, and process confidential information with discretion.

Serve as a primary point of contact for leadership communications, routing inquiries and coordinating follow-up on action items.

Plan, organize, and execute a range of regional events, including cascade meetings, holiday parties, galas, summer picnics, intern events, and awards dinners, managing all logistics, budgets, communications, and registrations.

Oversee comprehensive office administration, including managing shipping, mail distribution, postage systems, office and kitchen supplies, business cards, badges, seating charts, furniture requests, and onboarding support.

Coordinate facilities maintenance and repairs, managing vendor relationships for services such as janitorial, HVAC, plumbing, pest control, landscaping, fire/life safety systems, locks, roof repairs, printers, elevators, coffee service, water filtration, EV chargers, lighting, and phone systems.

Generate purchase orders, approve invoices, process expense reports, and maintain organized financial and operational records.

Support project-related administrative tasks, including managing Salesforce project numbers, generating reports, assisting with presentations, spreadsheets, and various special projects as assigned.

Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.

Exceptional organizational skills with the ability to manage multiple priorities and complex tasks simultaneously.

Demonstrated ability to communicate clearly and professionally, both verbally and in writing, with all levels of staff and external partners.

Proven discretion and ability to handle confidential information with integrity.

Strong event planning, coordination, and budget management capabilities.

Expertise in vendor coordination and relationship management.

High School Diploma or Trade School certificate.

A minimum of 5 years of progressive experience in administrative support, office management, or operations support roles, preferably within the construction or related industries.

Demonstrated advanced competency in specialized administrative and operational tasks.

Associate's degree (2 year) in Business Administration or a related field, or equivalent experience, is preferred.

Work will be performed in a professional office environment, requiring prolonged periods of sitting and computer use.

Regularly required to talk, hear, stand, walk, and reach with hands and arms.

Occasionally required to lift and move up to 10 pounds.

The position operates in a professional office environment and may encounter moderate noise levels from office equipment.

This role requires the ability to work effectively in a collaborative team environment and occasionally manage event setup/takedown.

Pay Range

$31.30-$41.50 Hourly

The pay range for this role is what we expect to pay for candidates that meet the specified qualifications and requirements listed on this job description. Candidate's pay can vary based on location, job-related experience, skills, and education.
