Administrative Assistant

The Administrative Assistant role is vital to maintaining operational efficiency, regulatory compliance, and continuity across several high-impact financial and administrative functions. Due to the high volume, complexity, and time-sensitive nature of these duties, a dedicated professional is essential to mitigate risks, prevent service disruptions, and avoid costly operational delays.
1. Purchase Orders & Invoicing
- Financial Integrity: Ensures the accurate and timely processing of purchase orders and invoices to maintain strong vendor relationships and guarantee on-time payments.
- Compliance: Upholds internal financial controls, directly supporting budget accuracy and audit readiness.
2. Call Center Support
- First Impressions: Serves as the primary point of contact, ensuring all incoming inquiries are addressed promptly and routed to the correct departments.
- Operational Focus: Elevates customer satisfaction while shielding technical and management staff from disruptions, allowing them to focus on core strategic duties.
3. Service Event Management
- Coordination & Tracking: Manages service events, monitors requests, and maintains meticulous documentation to ensure swift issue resolution.
- Accountability: Guarantees that service level agreements (SLAs) are met, supporting overall operational continuity.
4. Budget Management Support
- Oversight & Reconciliation: Handles administrative tracking, reconciliation, and reporting to provide effective budget oversight.
- Proactive Protection: Identifies financial discrepancies early, prevents overspending, and ensures total alignment with approved fiscal plans.
5. Contracting Support
- Lifecycle Management: Oversees contracts, renewals, and critical documentation to ensure the organization never misses a deadline.
- Risk Mitigation: Protects the organization by ensuring all contractual obligations and compliance requirements are strictly met.
6. Inter-Facility Material & Asset Tracking
- Inventory Control: Maintains precise records of material and asset movements between facilities, including mandatory asset removal documentation.
- Audit Readiness: Safeguards physical inventory and ensures strict adherence to organizational asset management policies.
