Location: William Tennent High School Terms of Employment: 260 days Time: 7:00 am - 3:00 pm, Monday - Friday Full-Time with benefits Employee Group: Support Staff Pay Range: Min: $20.93 Mid: $25.12 Max: $29.30 FLSA: Non-Exempt
Job Goal: The Administrative Assistant to the 11th Grade House Principal provides high-level clerical, organizational, and student-support services to ensure the efficient operation of the 11th Grade House Office. This position requires strong attention to detail, confidentiality, and the ability to manage multiple data systems and student records in a fast-paced high school environment. The Administrative Assistant serves as a critical liaison among students, staff, families, and district departments while supporting academic, attendance, and disciplinary processes.
Primary Responsibilities:
- Student Information Systems & Data Management
- Run, generate, and maintain reports in the Skyward Student Management System, including but not limited to attendance, discipline, schedules, and academic performance data
- Enter, update, and verify student information with a high degree of accuracy and confidentiality
- Assist the administrator with data analysis and reporting needs for the 11th Grade House
- Academic Records & Grading Coordination
- Organize, collect, and record grades and academic progress reports received from the Middle Bucks Institute of Technology (MBIT)
- Ensure the timely integration of external academic records into student files and Skyward
- Communicate with MBIT instructors and internal staff regarding missing or incomplete student academic documentation
- Support grade verification processes and report distribution cycles
- Discipline & Confidential Student Records
- Maintain accurate and confidential records related to student discipline referrals and interventions
- Track disciplinary actions, outcomes, and administrative follow-up in accordance with school and district policy
- Ensure compliance with FERPA and all applicable confidentiality regulations
- Prepare discipline-related reports for the house principal's review as needed
- Office & Administrative Support
- Provide day-to-day administrative support to the 11th Grade House Principal
- Manage incoming calls, emails, and walk-in student/family inquiries
- Coordinate scheduling, meetings, and communication with teachers, counselors, and administrators
- Assist with student attendance monitoring, tardy tracking, and related interventions
- Maintain organized digital and physical filing systems for student records
- Provide coverage at the main office entrance throughout the day
- Student & Staff Support
- Serve as a welcoming point of contact for students, staff, and families
- Support student scheduling changes and enrollment adjustments as directed
- Assist with testing coordination, house-wide events, and student recognition programs
Required Qualifications:
- High school diploma required; associate degree or equivalent post-secondary coursework preferred
- Prior experience in a school office or administrative support role strongly preferred
- Proficiency with student information systems (Skyward experience preferred)
- Strong computer skills, including Microsoft Office/Google Workspace
- Demonstrated ability to maintain confidentiality with sensitive student data
- Excellent organizational skills and attention to detail
- Strong interpersonal and communication skills
Preferred Skills & Competencies:
- Experience working in a high school or student services environment
- Familiarity with career/technical education systems (e.g., MBIT or similar programs)
- Ability to manage multiple priorities and meet deadlines
- Professional judgment and discretion in handling confidential matters
- Collaborative mindset and ability to support administrative leadership
Additional Responsibilities:
- Perform other related duties as assigned by the building administration to support the efficient operation of the 11th Grade House Office and school community
Work Environment:
This position operates in a dynamic high school office setting requiring frequent interaction with students and staff. The role involves frequent computer use, data entry, and cross-departmental coordination. All employment is provisional for 90 days as required by ACT 168 of 2014, enacted December 22, 2014. MUST SUBMIT ACT 168 FORM TO ALL CURRENT AND FORMER EMPLOYERS WHERE YOU HAVE HAD DIRECT CONTACT WITH CHILDREN.
