Executive Assistant - HR, Risk & Compliance

Job Overview The Executive Assistant provides complex administrative support to the Vice President for Human Resources, Risk and Compliance and the division. The role involves preparing reports, managing budgets, handling contracts, providing research, coordinating events, and maintaining confidentiality. Responsibilities Perform contract evaluations and coordinate reviews. Research regulations, policies, and guidance for contract management. Maintain contractual records and documentation. Coordinate budget tracking, invoice processing, and report development. Draft, edit, proof, and route documents including policies, reports, correspondence, memoranda, contracts, and proposals. Manage projects and implement process improvements. Develop meeting agendas, attend meetings, and take notes. Assist with special events and logistics. Assist in developing a contract management system for tracking dates, renewals, terminations, and compliance. Perform additional duties as assigned. Required Education Associate degree minimum. Required Experience Five years of administrative support to senior leadership. Preparation and reporting for senior/board meetings. Budget drafting and monitoring. Web page editing. Handling sensitive material with confidentiality. Required Knowledge, Skills, & Abilities Advanced proficiency in Office 365 (Word, Excel, PowerPoint, OneDrive, SharePoint, Teams). Outlook calendar management. Knowledge of Smartsheet, Adobe Acrobat, AdobeSign. Familiarity with digital applications such as work order systems and room schedulers. Ability to learn new technology programs. Experience assisting in special events planning and execution. Excellent communication skills and discretion with internal and external customers. Critical thinking and problem‑solving ability. Preferred Qualifications Human Resources coursework or experience. Experience with budgets and contract administration or contract law. Benefits Salary range: $55,114 – $71,649. Paid holidays: 2 weeks college break, 15 sick days, 18 vacation days. Mandatory retirement plan and optional 403(b) with match after 1 year and 457(b) plans. Tuition waiver and reimbursement for HCC classes. Employees must be residents of Maryland or contiguous states or be willing to relocate. Work Schedule 40 hours per week, Monday–Friday, flexible schedule coordinated with supervisor.
