Leasing Associate to the US Senior Managing Director

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Leasing Associate to the US Senior Managing Director based in the United States.

This remote role provides high-visibility leasing and administrative support to a senior real estate executive.
You will contribute to tenant sourcing, lease negotiations, market research, documentation, and relationship management across a commercial real estate portfolio.
The position combines leasing expertise with strong coordination, organization, and executive support responsibilities.
You will work closely with tenants, vendors, legal and finance teams, asset management professionals, and senior leadership.
The role offers exposure to leasing strategy, market analysis, property marketing, and lease administration within an entrepreneurial environment.
Strong attention to detail and the ability to manage multiple priorities independently will be essential.
The successful candidate will help streamline leasing processes while supporting effective tenant relationships and business growth.

Accountabilities

• Identify and engage prospective commercial tenants through email campaigns, cold calling, digital marketing, and other strategic outreach initiatives.

• Support the preparation and negotiation of lease terms and agreements for new and renewing tenants, ensuring alignment with business objectives and market conditions.

• Build and maintain productive relationships with existing tenants and respond promptly to leasing-related questions and concerns.

• Monitor market trends, rental rates, competitor activity, and tenant demand to support leasing strategy.

• Assist with the development and execution of property marketing campaigns, including digital advertising, print materials, and social media outreach.

• Prepare market analysis reports and presentations for management, highlighting relevant leasing opportunities and market insights.

• Support asset management executives with the preparation and review of Letters of Intent, lease agreements, amendments, and related legal documents.

• Coordinate with legal and finance teams to support lease compliance, risk management, and fulfillment of contractual obligations.

• Maintain accurate leasing records, databases, correspondence, and transaction documentation.

• Assist with property marketing initiatives and tenant retention strategies.

• Facilitate collaboration between internal departments to ensure efficient and coordinated leasing operations.

• Manage calendars, schedule meetings, and coordinate travel arrangements for senior leadership as needed.

• Prepare reports, presentations, correspondence, and other materials for executive review.

• Draft, proofread, and finalize lease agreements, contracts, and internal communications.

• Organize and maintain leasing files and databases for efficient access and compliance.

• Serve as a liaison between executives, tenants, clients, vendors, and internal teams to facilitate communication and follow-through.

• Oversee lease and legal document execution workflows, ensuring timely approvals and processing.

• Process expense reimbursements accurately and in accordance with company policies.

• Provide additional administrative and leasing support as required.

Requirements

• Bachelor’s degree required.

• Minimum of 5 years of relevant professional experience, preferably in commercial leasing or commercial real estate.

• Strong understanding of leasing processes, tenant relations, lease documentation, and commercial real estate practices.

• Excellent organizational and time-management skills, with the ability to prioritize multiple tasks and deadlines.

• Advanced proficiency with Microsoft Office, including Word, Excel, and Outlook.

• Strong written and verbal communication skills, with the ability to interact professionally with executives, tenants, vendors, and other external stakeholders.

• Ability to work independently with minimal supervision and exercise sound judgment.

• Comfortable working in a fast-paced, entrepreneurial environment.

• Strong work ethic, accountability, and attention to detail.

• Collaborative approach and ability to work effectively across departments.

• Experience with Yardi is a plus.

• Availability to work during standard U.S. Pacific Time business hours, approximately 8:00 AM–5:00 PM, Monday through Friday.
