Administrative Assistant, US Equity Execution (Capital Markets)

Software Guidance & Assistance, Inc., (SGA), is searching for an Administrative Assistant for a RIGHT TO HIRE assignment with one of our premier Financial Services clients in lower Manhattan, NY. Onsite schedule 5x weekly Responsibilities:

• Provide administrative support to the US Equity Execution team in a fast-paced trading floor environment.
• Manage complex calendars and coordinate meetings for team members and stakeholders.
• Arrange and book domestic and international travel for up to 25 employees.
• Prepare, submit, and track expense reports in accordance with company policies.
• Coordinate internal and external events, including scheduling, logistics, and vendor management.
• Manage conference room availability and meeting room bookings.
• Organize, process, and maintain invoices, bills, and supporting documentation.
• Edit and format PowerPoint presentations, marketing materials, and other business-related documents.
• Assist with general office administration and ad hoc projects as required.
• Maintain a high level of professionalism, confidentiality, and attention to detail while supporting front-office personnel.

Required Skills:

• 1+ years of experience in an Administrative Assistant or similar administrative support role.
• Strong proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Experience managing calendars and scheduling meetings for multiple stakeholders.
• 1+ years of experience processing and tracking expenses.
• Excellent organizational, time management, and multitasking skills.
• Strong attention to detail and ability to deliver accurate work in a fast-paced environment.
• Ability to work independently and effectively prioritize competing responsibilities.
• Strong verbal and written communication skills.

Preferred Skills:

• Financial Industry experience
• Experience in creating Power Point decks
• Experience with Concure
