Litigation Assistant

Overview Litigation Secretary — San Jose, CA. Hybrid (2 days onsite/week after 90 days). Top Am Law Firm. This position supports a prestigious legal team handling complex and high-stakes litigation matters. After a 90-day onboarding period, the schedule includes a hybrid work model with 2 days onsite and 3 days remote each week. Position Litigation Secretary San Jose, CA Key Responsibilities Provide high-level administrative and litigation support to attorneys and paralegals in the Litigation practice group Prepare, format, and revise legal documents including pleadings, discovery, motions, subpoenas, and correspondence File legal documents with federal and state courts, including e-filing using court-specific platforms Manage attorney calendars, schedule meetings, coordinate travel, and maintain docket reminders Open new matters, manage files, and maintain document management systems in accordance with firm protocols Process expense reports, time entry, and billing tasks in a timely and accurate manner Communicate with clients, court personnel, and opposing counsel professionally and confidentially Maintain a high level of discretion and professionalism at all times Qualifications Minimum 5 years of litigation secretary experience in a large or mid-size law firm environment Strong knowledge of federal and California state court rules and procedures Proficiency with MS Office Suite (Word, Outlook, Excel, PowerPoint) and legal document management systems Experience with court e-filing platforms (e.g., CM/ECF, California courts) Excellent written and verbal communication skills Ability to prioritize multiple tasks with accuracy and attention to detail Strong organizational and time management skills Professional demeanor and ability to work both independently and collaboratively Why Join Us Prestigious Am Law firm environment with exposure to high-profile litigation matters Hybrid work model offering flexibility and work-life balance Top-tier benefits including comprehensive health coverage, 401(k) match, paid parental leave, and wellness initiatives Supportive and inclusive workplace culture committed to professional development Equal Opportunity Employer We are an Equal Opportunity Employer and are committed to creating a diverse and inclusive workplace.
