Civil Litigation Legal Secretary

We are actively seeking an experienced Civil Litigation Legal Secretary for our client to provide comprehensive legal and administrative support to attorneys handling Property & Casualty insurance defense litigation . This is a hybrid opportunity , primarily remote with occasional visits to the San Jose, California office as needed. Key Responsibilities Draft, prepare, and format legal correspondence, pleadings, motions, and other legal documents. Organize and maintain electronic case files and legal records in a paperless environment. Manage attorney calendars, including court appearances, filing deadlines, depositions, medical examinations, hearings, and arbitrations. Coordinate scheduling and follow-up activities with clients, experts, courts, and opposing counsel. Electronically file documents with California courts. Provide proactive case support by monitoring file activity and anticipating attorney needs. Assist with litigation-related administrative tasks and document management. Qualifications 3–5 years of experience as a Legal Secretary or in a similar legal support role. Strong knowledge of legal terminology, procedures, document preparation, and litigation practices. Experience supporting civil litigation matters, preferably insurance defense litigation. Exceptional organizational skills with the ability to manage multiple priorities and deadlines. Strong attention to detail and accuracy. Proficiency in Microsoft Office 365, Teams, OneDrive, Adobe Acrobat, and PDF document management. Experience working in a fully electronic (paperless) environment. Familiarity with legal software applications and electronic document management systems. Excellent written and verbal communication skills. Ability to handle confidential and sensitive information with discretion. Preferred Qualifications Bachelor’s degree or equivalent combination of education and experience. Notary Public certification. Experience with Electronic Legal Management systems, including e-Docs and TeamConnect. Knowledge of California court procedures, local court rules, and e-filing requirements across California jurisdictions.
