Accounts Payable & Billing Assistant
Position Overview
Our client is seeking a detail-oriented and organized Accounts Payable & Billing Assistant to join their team. This role will support the accounting department through accounts payable processing, billing assistance, and general office support. The ideal candidate is dependable, proactive, and takes pride in producing accurate work while contributing to a collaborative office environment.
This position offers the opportunity to work closely with accounting and administrative teams while developing a broad range of accounting and office management skills.
Key Responsibilities
Accounts Payable
- Process vendor invoices accurately and in a timely manner
- Review and reconcile vendor statements
- Research and resolve invoice and payment discrepancies
- Analyze expense reports and ensure compliance with company policies
- Maintain organized records of invoices, payments, and supporting documentation
Billing Support
- Assist with monthly billing processes
- Post costs and expenses to client matters
- Review and edit pre-bills for accuracy
- Submit invoices through third-party billing platforms
- Maintain billing-related spreadsheets and reports in Excel
Administrative & Office Support
- Provide backup support for front desk and reception duties
- Assist with general office administration as needed
- Support various departments with clerical and organizational tasks
- Help maintain efficient day-to-day office operations
Qualifications
- 1+ years of Accounts Payable, bookkeeping, or related accounting experience
- Working knowledge of accounting principles and practices
- Experience reconciling accounts and resolving discrepancies
- Strong attention to detail and commitment to accuracy
- Excellent organizational and time management skills
- Ability to prioritize multiple tasks and meet deadlines
- Professional communication skills and positive attitude
- Self-motivated with the ability to work independently
Preferred Qualifications
- Experience with legal billing or professional services billing
- Experience working in a professional office environment
Technical Skills
- Microsoft Excel, Word, Outlook, and PowerPoint
- Windows-based computer systems
- Accounting and billing software applications
- Data entry and record management
Schedule
- Full-time
- Monday through Friday
- 8:30 AM – 5:00 PM
- 37.5 hours per week
- Fully onsite
