Executive Admin/Receptionist
The Executive Admin/Receptionist is responsible for independently managing day-to-day reception and front office operations, along with supporting various administrative functions.
Responsibilities include:
- Conduct daily walkthroughs of the facility to ensure operational readiness.
- Ensure cleanliness and availability of office and break room supplies, including tea/coffee replenishment.
- Manage printing requests and coordinate shipping activities.
- Order and maintain administrative and office supplies.
- Prepare for and assist during client visits and meetings.
- Perform additional administrative duties as assigned by the Supervisor.
Reception duties include:
- Manage front desk and reception operations.
- Welcome and assist clients and guests professionally.
- Ensure all security and visitor protocols are followed.
- Handle identity card and badge management.
- Perform mailroom and shipping functions using carriers such as FedEx, UPS, etc.
- Maintain conference room reservations and ensure meeting rooms are clean and prepared.
Executive administration duties include:
- Monitor and manage usage of office supplies, pantry supplies, and copier resources.
- Coordinate maintenance and cleanliness of office equipment and liaise with building management when needed.
- Support additional administrative activities assigned by the Office Administrator/Supervisor.
Qualifications include:
- Associate degree preferred.
- 24 years of experience in Reception or Administrative functions within a medium-sized office environment (50100 employees preferred).
- Excellent verbal and written English communication skills.
- Strong computer proficiency, especially in Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of office administration and front office management practices.
- Strong interpersonal skills with the ability to work effectively in a multicultural environment.
- Excellent organizational, planning, analytical, and problem-solving abilities.
- Ability to make quick and effective decisions.
- Self-motivated, proactive, adaptable, and professional.
- Strong multitasking skills and ability to remain accessible for urgent office requirements.
- Flexible to work outside regular business hours when required.
