Office Administrator

Matura Farrington

Matura Farrington is partnering with a reputable national law firm in its search an experienced Office Administrator to oversee operations across multiple offices in the Southwest. This leadership role partners closely with local office leadership and corporate departments to ensure efficient day-to-day operations, support employee engagement, and drive operational excellence. Position Overview The Office Administrator is responsible for the overall administration and daily operations of several regional offices, providing leadership to administrative and support staff while serving as a trusted business partner to local office leadership. This role requires a collaborative, hands-on leader who enjoys balancing strategic initiatives with day-to-day operational management. Travel between supported offices will be required on an occasional basis. Key Responsibilities Office Operations & Leadership Oversee the daily administrative operations of multiple offices Partner closely with local office leadership to execute operational priorities and strategic initiatives Supervise administrative and support staff, providing coaching, mentoring, and performance management Monitor office budgets, expenses, and operational resources Ensure consistent implementation of organizational policies and procedures Recommend operational improvements to enhance efficiency and service delivery Human Resources & Staff Management Lead recruitment efforts for administrative and support staff Coordinate onboarding, orientation, and training for new employees Support attorney onboarding and office integration Manage employee scheduling, attendance, PTO, and overtime approvals Coordinate performance evaluations, compensation reviews, and employee development initiatives Partner with Human Resources on employee relations matters, leave administration, and workplace issues Cross-Functional Collaboration Serve as the primary liaison between the offices and shared services departments, including: Human Resources Information Technology Facilities Finance Marketing & Business Development Support office projects, relocations, renovations, and technology initiatives Assist with implementation of firmwide operational initiatives Coordinate local events and office activities Assist with operating and capital budget planning Monitor office expenditures and financial reporting Review general office expenses and identify opportunities for operational efficiencies Support vendor relationships and office services operations Qualifications Experience Minimum 3+ years of office administration, operations management, or administrative leadership experience Prior supervisory or managerial experience required Experience in a law firm strongly preferred Candidates from accounting, consulting, engineering, architecture, or other professional services environments will also be considered Education Bachelor's degree required Advanced degree preferred Proven ability to lead and develop administrative teams Strong relationship-building and interpersonal skills Excellent verbal and written communication abilities Strong organizational and project management skills Ability to manage multiple priorities across several office locations Financial acumen, including budgeting and expense management Proficiency with Microsoft Office Suite Experience with document management systems is a plus Ideal Candidate Profile We're seeking an experienced Office Administrator or Administrative Manager who enjoys wearing multiple hats and partnering closely with office leadership. The ideal candidate has successfully managed office operations within a law firm or similar professional services environment and is comfortable overseeing multiple locations. Strong leadership, sound judgment, and the ability to build relationships across all levels of the organization are essential.
