Job Summary The Executive Assistant will provide high-level administrative and operational support to executive leadership, serving as a trusted partner responsible for managing priorities, coordinating communications, and ensuring efficient day-to-day operations. This highly visible role requires a proactive, detail-oriented professional who can anticipate needs, manage competing priorities, and operate effectively in a fast-paced environment while maintaining confidentiality and professionalism. Key Responsibilities • Manage complex, high-volume executive calendars and coordinate meetings across multiple stakeholders. • Schedule and prioritize appointments, meetings, and events to ensure alignment with executive priorities. • Coordinate travel arrangements, including flights, accommodations, itineraries, transportation, and related logistics. • Prepare, process, and manage expense reports and financial documentation. • Serve as a gatekeeper and primary point of contact for executive leadership. • Support executive communications and ensure timely follow-up on priorities, action items, and commitments. • Coordinate office operations, including supplies, meeting logistics, visitor management, and guest hosting. • Anticipate executive needs and proactively address scheduling, operational, and administrative requirements. • Prepare meeting materials, presentations, reports, and supporting documentation as needed. • Maintain confidentiality when handling sensitive business information and executive communications. • Manage multiple priorities and deadlines while ensuring a high level of accuracy and professionalism. • Collaborate with internal and external stakeholders to support organizational objectives and executive initiatives. • Track action items and ensure timely completion of tasks and deliverables. Required Qualifications • Bachelor’s degree required. • 8+ years of Executive Assistant experience supporting senior-level executives or executive leadership teams. • Proven experience managing complex calendars, scheduling activities, and executive priorities. • Strong experience coordinating domestic and international travel arrangements. • Experience preparing and managing expense reports and financial documentation. • Experience supporting executives in fast-paced, high-visibility environments. • Advanced proficiency with Microsoft Office applications, particularly Microsoft Outlook. • Excellent organizational, multitasking, and time management skills. • Strong attention to detail and commitment to accuracy. • Exceptional verbal and written communication skills. • Ability to exercise sound judgment, discretion, and confidentiality. • Strong stakeholder management and relationship-building skills. • Ability to work independently and proactively manage competing priorities. Preferred Qualifications • Experience with HRIS platforms such as UKG, Workday, PeopleSoft, or similar systems. • Experience within higher education environments. • Experience supporting leadership within complex, multi-entity, or matrixed organizations. • Experience coordinating executive-level meetings, events, and strategic initiatives. Technical Skills • Advanced Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. • Experience with HRIS systems such as UKG, Workday, PeopleSoft, or similar platforms. • Experience with calendar management, travel booking, and expense management tools. Education: Bachelors Degree
