Construction Billing / Accounting Specialist (HVAC)

Position Overview
The Construction Billing / Accounting Specialist supports the financial operations of an HVAC construction business by managing project billing, payment tracking, and account reconciliation across multiple active jobs. This role requires strong knowledge of  AIA billing procedures , attention to detail, and the ability to manage a high volume of accounts simultaneously.

Key Responsibilities

• Prepare, review, and submit  AIA billings (G702/G703) in accordance with contract requirements and project schedules.
• Manage billing and accounting activities for 50+ active construction accounts at any given time.
• Track  payments received, outstanding balances, retainage, and lien waivers .
• Reconcile billing records with project budgets, contracts, and change orders.
• Coordinate with project managers to ensure accurate billing of completed work and approved changes.
• Monitor aging reports and follow up on overdue invoices to ensure timely collections.
• Maintain accurate records of invoices, payments, and account statuses.
• Assist with monthly close activities related to construction billing.
• Ensure compliance with contract terms, internal controls, and accounting procedures.
• Communicate with clients, general contractors, and internal teams regarding billing questions or discrepancies.

Qualifications

• Proven experience in  construction billing or accounting , preferably within  HVAC or mechanical contracting .
• Strong working knowledge of  AIA billing procedures and forms (G702/G703) .
• Experience managing  high-volume accounts (50+ projects concurrently) .
• Ability to track payments, outstanding balances, retainage, and collections.
• Proficiency with accounting software and Microsoft Excel.
• Strong attention to detail and organizational skills.
• Ability to work independently in a fast-paced construction environment.
• Excellent communication and follow-up skills.

Preferred Skills

• Experience in HVAC, mechanical, or construction contracting environments.
• Familiarity with job cost accounting and construction project workflows.
• Experience working with general contractors and construction payment processes.
