Executive Assistant

$28 - $45 per hour

Executive Assistant (Healthcare/Hospital Setting) Contract- 6 months Compensation: $28 to $45 per hour Position Overview We are seeking a highly organized and experienced Executive Assistant to provide high-level administrative support to senior leadership within a hospital environment. This individual will play a critical role in ensuring efficient executive operations, handling confidential information, and supporting strategic initiatives. The ideal candidate will have strong judgment, exceptional communication skills, and the ability to manage multiple priorities in a fast-paced setting. Key Responsibilities Manage and maintain executives’ calendars, including scheduling meetings, appointments, and conference calls Coordinate complex travel arrangements and itineraries Prepare and edit reports, correspondence, memos, presentations, and financial documents Handle highly confidential and sensitive information with discretion and professionalism Serve as a liaison between executives, staff, and external stakeholders Track contract development from drafting through final approval and system upload, ensuring vendor credentialing compliance Support the creation, review, and distribution of organizational policies and procedures Coordinate office services including records management, departmental budgets, and operational processes Answer and direct calls, manage correspondence, and respond to routine inquiries Greet visitors and coordinate meetings, including logistics such as agendas and catering Conduct research, compile data, and prepare materials for executive presentations and committees Maintain organized filing systems and document management processes Attend meetings, record, and distribute minutes Process payroll-related administrative tasks Interpret and communicate administrative policies and procedures to staff Supervise and train clerical staff as needed Evaluate workflows and recommend process improvements to enhance efficiency Qualifications Minimum of 5 years of experience supporting senior executives (VP level or higher preferred) Experience in a hospital or healthcare setting strongly preferred Strong knowledge of administrative procedures, office management, and organizational operations Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Typing speed of 60 WPM with strong grammar, spelling, and composition skills Proven ability to manage confidential information with discretion Strong organizational, multitasking, and time management skills Excellent written and verbal communication skills Preferred Qualifications Bachelor’s degree or relevant education (may be considered in lieu of experience) Experience with contract management systems and vendor credentialing Exposure to payroll processes and financial reporting Prior experience supervising administrative or clerical staff Benefit offerings include medical, dental, vision, additional voluntary benefits, 401K plan.
