Location: Ocala, FL

Pay: $18.00–$20.00/hour (Based on Experience)

Schedule: Full-Time

  • Monday – Thursday: 8:30 AM – 5:00 PM
  • Friday: 8:30 AM – 12:00 PM

Our established law firm is seeking a dependable, detail-oriented Legal Office Assistant to join our team. This is an excellent opportunity for someone who enjoys a fast-paced office environment and is looking for a long-term career supporting attorneys in Bankruptcy, Probate, and Construction Law.

Responsibilities Administrative & Office Support

  • Answer incoming calls and greet clients professionally.
  • Schedule appointments, hearings, and meetings by phone and email.
  • Open, organize, and maintain both electronic and paper client files.
  • Perform data entry, filing, scanning, copying, and document management.
  • Prepare mailings, labels, envelopes, and determine appropriate postage.
  • Order office supplies and maintain inventory.
  • Maintain an organized and professional office environment.
  • Handle incoming and outgoing mail.

Legal Support

  • Prepare correspondence, legal forms, motions, notices, and other documents using firm templates.
  • Assist with bankruptcy petitions and schedules, probate documents, discovery requests, and other legal filings under attorney supervision.
  • File pleadings and legal documents electronically through the Florida E-Portal and with local courts.
  • Coordinate hearing schedules and manage attorney calendars and deadlines.
  • Communicate with judicial assistants, court personnel, attorneys, and clients.
  • Conduct basic legal research and assist with case preparation.
  • Organize case files and maintain accurate documentation.

Additional Duties

  • Travel - Run occasional business errands, including courthouse filings, post office visits, office supply purchases, and document pickups.
  • Travel locally as needed, with occasional trips to Bushnell (approximately twice per year).
  • Maintain strict confidentiality of client and firm information.

Qualifications

  • Minimum 1 years of experience working in a law office (required)
  • Previous experience as a Legal Assistant, Legal Secretary, Office Assistant, or Paralegal
  • Typing speed of 50–55+ WPM
  • Strong organizational, multitasking, and time management skills
  • Excellent written and verbal communication
  • Ability to work independently while supporting a collaborative team
  • Professional demeanor with exceptional attention to detail
  • Valid driver's license, reliable transportation, and current auto insurance

Preferred Qualifications

  • Experience with Bankruptcy, Probate, or Construction Law
  • Familiarity with Florida e-Filing (Florida E-Portal)
  • Notary Public (or willingness to obtain certification)
  • Experience with legal case management software
