Job Description Executive Assistant for Pharma Services & Global Markets - San Juan Capistrano, CA (REMOTE), Monday to Friday, 8:00 AM to 5:00 PM Responsible for the coordination of activities and ensuring the timely flow of information in support of a senior leader, such as a Vice President. This role supports two business units within Quest Diagnostics:

  • Pharma Services - Quest Diagnostics BioPharma Services is a highly specialized business unit designed to act as an end-to-end laboratory support and diagnostic development partner for pharmaceutical, biotechnology, and contract research organizations (CROs). BioPharma Services supports drug developers through every milestone of a therapy's lifecycle-from early-stage discovery to post-market surveillance.
  • Global Markets - Quest Diagnostics Global Markets drives Quest Diagnostics' international reach, extending specialty testing, digital solutions, and laboratory services globally. As a leader in the Global Diagnostics Network (GDN)-a powerful alliance of leading laboratories spanning countries that represent two-thirds of the world's population, Global Markets helps accelerate therapeutic innovation, connects global diagnostic insights, and improves patient care worldwide.
Pay range: $29.90 - $44.86 / hour Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications obtained. Market and organizational factors are also considered. Successful candidates may be eligible to receive annual performance bonus compensation. Responsibilities: Ensure that administrative tasks are done in an effective and efficient manner. Screen and prioritize communications and opportunities from external and internal sources. Schedule meetings, appointments and maintain calendars. Arrange and prepare materials for staff and other meetings. Take notes and minutes in meetings. Prepare communications and documents, such as memos, emails, invoices and other correspondence. Assist leader with assigned projects. Create and run reports. Research and book travel arrangements. Complete expense reports. Respond to procedural requests. Understand organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed. Perform other duties as assigned to meet the business needs or customer requirements. Qualifications: Required Work Experience: Five (5) to eight (8) years of relevant administrative experience. Knowledge: Proper telephone etiquette to handle inquiries. Knowledge of operating office equipment Skills: Excellent interpersonal and communication skills (oral and written) necessary to effectively interact with customers and co-workers. Intermediate to advanced computer skills (Word, Excel, PowerPoint) Ability to multi-task and work in a fast-paced environment. Strong organizational skills Ability to analyze and solve problems. Ability to maintain professional and tactful manner in stressful situations Exhibit comfortable interaction with employees at all levels of the organization. Ability to handle a variety of situations independently without supervisor review.
