Agape Programs, LLC d.b.a. Agape Substance Abuse Program is seeking a dependable, organized, and professional Administrative Assistant to support the daily operations of our behavioral health organization.
The Administrative Assistant serves as an important point of contact for clients, staff, referral sources, and community partners. The ideal candidate will have excellent customer service and communication skills, strong attention to detail, technological proficiency, and the ability to manage multiple responsibilities in a fast-paced and confidential environment.
Responsibilities
- Greet clients, visitors, and community partners in a professional and welcoming manner.
- Answer, screen, and route incoming telephone calls and accurately document messages.
- Schedule client appointments and maintain staff and organizational calendars.
- Coordinate meetings, appointments, and other office activities.
- Prepare and edit professional correspondence, letters, reports, memos, emails, forms, invoices, and other documents.
- Maintain accurate client rosters, attendance records, and administrative records in both electronic and physical formats.
- Create, maintain, and organize confidential electronic and physical filing systems.
- Assist with client intake and administrative admission processes as assigned.
- Conduct and process authorized drug and alcohol screenings in accordance with agency procedures and applicable training requirements.
- Assist with billing, invoicing, payment tracking, bookkeeping, and other basic financial administrative functions.
- Enter and maintain accurate information in electronic systems, databases, spreadsheets, and electronic health record systems.
- Review documents for accuracy, completeness, required signatures, and missing information.
- Assist with tracking deadlines, reports, client documentation, and other compliance-related requirements.
- Communicate professionally with clients, staff, referral sources, vendors, and community partners.
- Receive, sort, distribute, and process incoming and outgoing mail and correspondence.
- Maintain adequate office supplies and assist with general office organization.
- Protect confidential client and organizational information and follow all applicable privacy and confidentiality requirements.
- Provide administrative support to leadership and clinical staff as needed.
- Complete assigned tasks accurately and within established deadlines.
- Perform other administrative and office duties as assigned.
Required Qualifications
- High school diploma or GED required; associate degree or additional administrative training preferred.
- Minimum of one (1) year of recent administrative, clerical, medical office, behavioral health, or related office experience preferred.
- Strong computer and technological proficiency, including experience with Microsoft Office applications, email, spreadsheets, electronic records, and web-based systems.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to prioritize assignments and manage multiple responsibilities.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Dependable, punctual, professional, and able to work with limited supervision.
- Strong interpersonal and customer-service skills.
- Ability to receive feedback, follow instructions, learn new systems, and apply training effectively.
- Must be flexible and willing to assist with changing program and office needs.
Preferred Qualifications
- Bilingual in English and Spanish, with the ability to speak and write effectively in both languages.
- Previous experience in a behavioral health, substance use treatment, healthcare, social services, or similar setting.
- Experience with electronic health records, billing systems, client databases, or case-management software.
- Experience working with confidential client information and maintaining organized records.
