Billing Specialist

Key Responsibilities

• Prepare and process customer invoices accurately and in a timely manner
• Verify work orders, purchase orders, and supporting documentation prior to billing
• Process cash, checks, credit card payments, and other transactions as needed
• Reconcile daily billing activity and resolve billing discrepancies
• Maintain accurate customer accounts and billing records
• Assist with accounts receivable by processing payments and following up on outstanding balances
• Answer customer questions regarding invoices, payments, and account information
• Collaborate with service advisors, technicians, and management to ensure accurate billing
• File and maintain billing documents in accordance with company procedures
• Perform general administrative and clerical duties, including answering phones and assisting customers
• Maintain confidentiality of financial and customer information
• Support other store administrative functions as assigned

Qualifications

• High school diploma or equivalent required
• Previous billing, accounting, administrative, or customer service experience preferred
• Proficiency in Microsoft Office, particularly Excel and Outlook
• Experience with accounting, billing, or point-of-sale software preferred
• Strong mathematical, organizational, and problem-solving skills
• Excellent attention to detail and accuracy
• Ability to prioritize tasks and meet deadlines in a fast-paced environment
• Strong verbal and written communication skills

Physical Requirements

• Ability to sit, stand, and move throughout the workday
• Ability to occasionally lift up to 25 pounds
• Ability to work in an office environment within a retail or commercial service location
