Position Summary
Primary responsibilities include supporting the Managing Principal in administrative functions, including but not limited to the following:
- Serve as the primary gatekeeper, overseeing all communications, calendar, and priorities across multiple businesses and personal commitments, ensuring focus, efficiency, and proactive resolution of competing demands
- Ensure the Managing Principal is prepared for all meetings and commitments by proactively managing logistics, materials, and scheduling to maintain seamless day-to-day execution
- Own and coordinate administrative and relationship workflows, including tracking projects and key timelines, liaising with internal and external stakeholders, coordinating meetings, events, and special initiatives, as well as managing family office functions seamlessly
- Manage and draft correspondence to emails and communications on behalf of the Managing Principal, ensuring timely, thoughtful, and aligned messaging that reflects the tone and judgement of the principal.
- Collaborate closely with leadership teams across multiple organizations to ensure business objectives are met and proactively driving projects forward, exercising sound judgment on when to engage the Managing Principal
- Coordinate and manage all details for quarterly Board of Directors meetings across two organizations
- Ability to travel to quarterly Board meetings and other occasional in person engagements to provide the highest level of support
- Establish and maintain daily workflow hygiene, ensuring all outstanding items are logged, prioritized, and staged for next day action
- Maintain an ongoing project list and ensure all deliverables have clear owners and deadlines, flagging and risks or delays in advance
- File meeting notes and systematically follow up to ensure 24-hour turnaround on next steps or action items
Qualifications
- 5+ years of experience as an executive assistant supporting C-Level executives
- Proven ability to operate with precision in a fast-paced, high-performance environment
- Strong judgment and ability to prioritize across multiple complex workstreams
- Excellent communication skills, both written and verbal
- Polished presence in both formal and informal settings
- Must possess a team attitude and great people skills
- Ability to execute with a high level of discretion, confidentiality, and professionalism
- Proactive, solutions-oriented mindset with the ability to anticipate needs
- Flexibility and availability to respond outside standard business hours when time sensitive needs arise
- Strong command for productivity tools and systems; highly proficient in: Google Workspace (Calendar, Gmail, Docs, Sheets), Microsoft Office, Apple ecosystem (Mac, iPhone, apps)
- Valid driver's license with a clean driving record and passport
- Bachelors degree
