Administrative Assistant

CTSI Administrative Assistant Consulting and Testing Services, Inc. (CTSI) has provided Construction, Environmental, Health and Safety services to privately held companies, institutions and industries throughout the New York tristate area, as well as nationally, since 1992. We are a small company with a dedicated team located in mid-town Manhattan and Long Island, founded on one strong commitment: to provide efficient and expert services to our clients based on professionalism, innovation and cost-effective expert solutions. Job Description CTSI is looking to fill part-time Administrative Assistant position to start with the company as soon as possible. Responsibilities As an Administrative Assistant you will provide support to daily office operations within CTSI's Long Island office 4 days per week and Manhattan office once per week. Responsibilities include but are not limited to: Draft project survey reports in accordance with company templates, proposal and bid document creation for a variety of ongoing projects. Assist in project coordination through submitting filings, documents and insurance certification request, collecting daily project data Serve as an intermediary between other office staff, clients, laboratories, sub-contractors and CTSI's field staff. Perform other administrative tasks such as document processing, answering phones, scanning, follow-ups with field staff, and other ad-hoc administrative tasks as assigned. Assist in scheduling projects, meetings, and/or conferences as well as provide assistance to Senior Project Executives. Provide support in updating and maintaining records and data Assist Office Manager with office maintenance and organization Assist in the resolution of IT issues that arise within the office. Qualifications HS Diploma/GED (or less) and at least 2-4 years of experience or Associate Degree and at least 2 years of experience, or Bachelor's Degree in the field of Science. Proficiency in Microsoft Office/MS Office 365 (Word, Excel, Outlook, and PowerPoint) required. Basic familiarity in Adobe Acrobat. Knowledge in IT and computers helpful. Must be self-motivated and proactive. Must be able to work independently and in diversified groups High degree of accuracy, organized and attention to detail Must be dependable and eager to learn new tasks/skills Excellent communication skills (written, verbal and customer service) Demonstrates a sense of urgency and ability to meet deadlines Comfortable working in high-paced environments Able to succeed while working under pressure Punctual and professional.
