Executive Assistant (Updated)

University of Arizona

The Executive Assistant position provides high‑level administrative and operational support to the Executive Director of NAATE, including calendar coordination, meeting logistics, travel arrangements, procurement activities, conference and event registrations, event logistics, facilities requests, ordering supplies, purchase requests, and surplus management. Duties & Responsibilities Administrative Support to the Special Advisor Manage calendar and report to Provost Office. Maintain updated bio‑sketch. Communicate with campus partners. Arrange travel including hotels and flights. Support NAATE initiatives (tribal flags, speaker series, etc.). Support Athletics Department initiatives. Serve on committees and resolve issues. Draft and prepare press releases. Possess extensive knowledge of the University. Administrative Office Support Manage room scheduling for meetings and events. Handle U of A permits and related activities. Reserve hotel rooms for NAATE guests. Coordinate maintenance/repair and surplus equipment requests. Assist with departmental purchasing and procurement. Event Logistics Organize departmental events and registrations. Manage agendas, itineraries, parking, and transportation permits. Assist with event outreach communications. Coordinate catering orders. Handle outstanding items and send acknowledgements. Procurement, Travel & P‑Card Administration Arrange travel for staff and guests, prepare reimbursements. Reconcile and manage P‑Card transactions. Ensure accuracy and compliance. Knowledge, Skills, and Abilities Extensive knowledge of university policies and systems. Experience with travel coordination, purchasing, and administrative systems. Understanding of event logistics. Strong organizational and time‑management skills. Attention to detail and accuracy. Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, SharePoint). Calendar management and schedule coordination. Strong written and verbal communication. Independent judgment and prioritization of tasks. Discretion with confidential information. Professional interactions with stakeholders. Minimum Qualifications High school diploma or equivalent. Minimum of 5 years of relevant experience or equivalent combination of education and work experience. Benefits Health, dental, vision insurance, life and disability programs.
