Administrative Support Role
The candidate will provide dedicated administrative support within a fast-paced, high-visibility area of the business.
Serve as a key point of contact for the field team, responding to inquiries and leveraging established job aids and resources to ensure accurate and timely support.
Responsibilities include complex calendar management, as well as coordinating and scheduling meetings and events for the field team.
Demonstrate a high level of agility and flexibility, with the ability to effectively triage competing priorities and adapt quickly to changing business needs.
Work in a high-volume, fast-paced environment requiring strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Job Purpose
Primary focus is providing complex administrative support for a team. Works under limited supervision with general instructions given on new assignments.
Key Responsibilities
- Perform general administrative duties that may include data-entry, coordinating calendars, spreadsheets, and various administrative tasks.
- Serve as a point of contact for the Sales Team Contacts.
- Answer complex functional questions that may require additional research and follow-up.
- Viewed as key functional resource.
- Anticipate and coordinate projects/assignments, organize own schedules, and that of others, to meet deadlines. May gather and prepare data in preparation of upcoming projects; identify future needs to complete projects.
- Make decisions using independent judgment under only general guidelines.
- Translate thoughts into documents (letters/memos/presentations, etc.) using existing material; ensure document is logical and complete as well as accurate in grammar and spelling; make suggestions for improvements in existing communications.
- Manage work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provide guidance to peers as necessary regarding proprietary information.
- Confidential information typically consists of company/division sensitive information (i.e. new product technology).
Quality Systems Duties and Responsibilities
- Build Quality into all aspects of their work by maintaining compliance to all quality requirements.
Qualifications
- High School or equivalent and 3 years of related experience with certification in assigned area required.
- Proven experience managing complex calendars, including scheduling and prioritizing on behalf of senior leadership (e.g., AVP level or equivalent).
- Proficiency in Microsoft Office Suite, with a strong emphasis on Outlook (calendar management) and PowerPoint (presentation preparation and editing).
- Strong written and verbal communication skills, with the ability to interact effectively across all levels of the organization.
- Exceptional attention to detail, with a demonstrated ability to follow through on tasks accurately and consistently.
- Experience working within a large, highly matrixed organization; prior experience in the medical technology (med tech) industry is preferred.
