General Description:

The Administrative Assistant shall promote the culture, standards, values and working environment as outlined by the KLC Management Team. This is a support position responsible for assisting Administration and Operations as well as working with all other departments to provide outstanding service. The Administrative Assistant will coordinate and maintain all protocol within the facility. This position will also serve to promote strong communication between the remote locations and KLC’s main office and Operations. The Administrative Assistant will support strict adherence to all KLC standards and will represent the company with the highest level of professionalism.

Responsibilities:

• Answering incoming telephone calls
• Front Desk Coverage
• Proper routing of Calls and Inquiries

• Receiving, recording and profiling all incoming and outgoing correspondence, inquiries, and faxes
• General Clerical work – Filing, E filing, faxing, emailing, photocopying, and processing outgoing mail
• Processing of incoming and outgoing products and shipments
• Maintaining a high level of confidentiality regarding Employees, Vendors, Customers, Contracts, and other sensitive material
• Cross Train in all departments (Systems, Processing of Purchases and Sales, Logistics, etc.)
• Preparing and distributing correspondence, Purchase Order Amendments, Contract Change Initiations, and other technical correspondence
• Assisting in Process Improvement
• Accounts Payable duties & Audits
• Ensuring accuracy in spelling, grammar and content of communication
• Maintaining an up-to-date filing system of all the above
• Applying Excellent Customer Service to interactions
• Travel as needed
• Perform other related duties as assigned

Qualifications / Requirements:

• High School Diploma or Equivalent
• Two years of Administrative / Clerical /AP/AR Experience
• MS Office Suite of production to include: Excel, Word, Teams, etc.
• Excellent Customer Service Skills
• Verbal & Written Communication Skills
• Time Management
• Detail Orientated
