Senior Administrative Assistant

LHH is seeking a highly organized and proactive Senior Administrative Assistant to support executive leadership and ensure the smooth day-to-day operation of a professional corporate office for a contract to hire position. This individual will serve as a trusted partner to senior leaders, managing complex administrative responsibilities, coordinating office operations, planning events, and handling confidential information with the highest level of discretion.
The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities in a fast-paced environment while maintaining professionalism and exceptional customer service.
Responsibilities:
Executive Support
- Provide high-level administrative support to executive leadership, helping ensure operational efficiency and alignment with business objectives.
- Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders.
- Coordinate domestic and international travel arrangements, including transportation, lodging, itineraries, and related logistics.
- Prepare and maintain reports, presentations, spreadsheets, and other business documents.
- Facilitate communication between executives, employees, customers, vendors, and external business partners.
- Track action items, project deadlines, and follow-up activities to ensure timely completion.
- Organize internal and external meetings, leadership events, and corporate functions.
- Handle sensitive information with professionalism, discretion, and confidentiality.
Office Administration & Operations
- Serve as the primary point of contact for office-related matters and facility coordination.
- Partner with building management regarding maintenance requests, office updates, and employee communications.
- Manage relationships with office service providers and vendors, including contract oversight and annual reviews.
- Coordinate office supply procurement, inventory management, and budget tracking.
- Support workspace planning, office seating assignments, and storage organization.
- Maintain subscriptions, memberships, and corporate resources utilized by leadership and employees.
- Coordinate employee recognition initiatives including birthdays, work anniversaries, sympathy acknowledgments, and holiday programs.
- Assist with office lunches, team gatherings, employee events, and company celebrations.
- Ensure the office environment remains professional, organized, and fully functional.
Project & Event Coordination
- Support special projects and cross-functional initiatives as assigned.
- Assist with planning and execution of meetings, leadership retreats, and employee engagement events.
- Coordinate logistics, vendor communication, and event-related materials.
- Monitor timelines, budgets, and deliverables for assigned projects.
Qualifications:
- Bachelor's degree in Business Administration, Management, Communications, or a related field preferred.
- 3+ years of experience providing executive-level administrative support.
- Experience supporting senior leaders in a corporate environment.
- Prior office management or facilities coordination experience preferred.
- Strong organizational and time-management abilities.
- Ability to manage competing priorities while meeting deadlines.
- Excellent verbal and written communication skills.
- Exceptional attention to detail and follow-through.
- Sound judgment and professional decision-making skills.
- Ability to maintain strict confidentiality and handle sensitive information appropriately.
- Advanced proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Teams.
- Strong interpersonal skills with the ability to work effectively across all levels of an organization.
- Self-motivated, adaptable, and able to work independently.
- Experience coordinating corporate events and executive travel.
- Background supporting multiple executives simultaneously.
- Notary Public certification or willingness to obtain certification.
- Experience managing vendor relationships, office budgets, or workplace operations.
