Part-Time Administrative Assistant / Bookkeeper

About the Role We are a small, close‑knit office looking for a sharp, trustworthy, and detail‑obsessed Administrative Assistant/Bookkeeper to join our team. This is a hands‑on role where no two days are exactly alike — you'll wear multiple hats, work independently, and take genuine ownership of your responsibilities. This position starts at 25–35 hours per week and has the potential to grow into a full‑time role with benefits for the right person. Key Responsibilities Manage day‑to‑day bookkeeping including accounts payable (AP) and accounts receivable (AR) Process and track commissions accurately and on schedule Maintain organized financial records Handle general administrative duties: correspondence, scheduling, filing, and office coordination Work within QuickBooks and other web‑based platforms to manage data and reporting Support the team with CRM data entry and maintenance (Wealthbox a plus) Identify and resolve discrepancies with a proactive, problem‑solving approach Manage multiple priorities independently while keeping the team informed Assist Sales and Leadership team with conference preparation/scheduling What We’re Looking For Must‑Haves Exceptional attention to detail — this is non‑negotiable Demonstrated reliability and trustworthiness — we depend on you Solid understanding of AP, AR, and commission tracking Experience thriving in a small office environment Comfortable working independently and managing your own time Collaborative team player who communicates proactively Flexible, figure‑it‑out mindset — you don't wait to be told twice Proficient with web‑based applications and technology in general Strong Pluses (These aren’t dealbreakers, but they’ll put you at the top of the list) Background in finance, insurance, wealth management, CPA firm, or a related financial industry QuickBooks experience (this is a significant plus) Familiarity with Google Suite (Docs, Sheets, Gmail, Drive) Experience with Wealthbox CRM Schedule & Compensation Hours: 25–35 hours per week to start Pay: $25.00+ per hour Location: Primarily in‑office (Wheaton, IL); some scheduling flexibility available for the right person Growth Path: This role has a clear path to full‑time employment with benefits for a candidate who proves themselves Who Thrives Here This role is a great fit if you’re the kind of person who catches errors before anyone else does, takes ownership without being asked, and genuinely enjoys bringing order to complexity.
