Flight Support Specialist

Leviate Air Group is looking for an organized, responsive Flight Support Specialist to help coordinate private charter trips from booking through completion. This role keeps trip details accurate, communicates updates clearly, and helps ensure clients, brokers, operators, and vendors have the information they need. The position is based in office at Leviate HQ in Downtown Dallas and includes rotating on-call coverage for after-hours trip support. Key Responsibilities Coordinate trips: Keep active trip details organized and current from operational handoff through completion. Prepare itineraries: Gather required information and distribute accurate client and internal trip documents promptly. Verify details: Confirm schedules, airports, FBOs, operators, aircraft, crew information, and itinerary alignment. Manage logistics: Coordinate passenger information, catering, ground transportation, and special requests. Communicate clearly: Work with operators, vendors, charter advisors, and internal teams to confirm arrangements and share updates. Monitor active flights: Track schedule changes, delays, positioning concerns, and other developments that may affect a trip. Maintain records: Keep checklists, documents, vendor information, trip notes, and status updates complete and accurate. Support issue resolution: Identify concerns early, escalation appropriately, and help coordinate practical solutions. Participate in on-call coverage: Provide assigned evening, weekend, or holiday support as part of the team rotation. What We Are Looking For Strong attention to detail and commitment to accuracy. Ability to manage multiple deadlines and active trips without losing follow-through. Clear, professional written and verbal communication. Calm, solution-focused judgement in time-sensitive situations. Comfort working with Microsoft Outlook, Excel, Word, and business systems. Experience in aviation, hospitality, logistics, travel coordination, customer service, or operations is helpful but not required. College degree preferred, or equivalent relevant experience. Career Growth First progression milestone: Potential salary increase after approximately 18 months, subject to performance and company needs. Senior Flight Support Specialist: Potential additional title advancement and salary increase after approximately 36 months. Leadership opportunities: Future consideration for a director-level or other leadership role based on performance, readiness, company growth, and organizational needs. Advancement is subject to satisfactory performance, continued employment, business conditions, and company needs. Scheduling Note Private aviation operates beyond standard business hours. Rotating on-call assignments may include evenings, weekends, or holidays when needed to support active trips.
