Corporate Meetings & Events Planner (Temporary)
Our client, a Material Engineering company, is looking for a Corporate Meetings & Events Planner for their Santa Clara, CA location.
Responsibilities:
- Partner with internal stakeholders and cross-functional teams to plan and execute business objectives
- Manage detailed project plans, timelines, deliverables, and event production schedules
- Coordinate end-to-end event logistics, including venue coordination, catering, audiovisual, production registration, and attendee communications
- Manage relationships with external vendors, agencies, hotels, and service providers
- Support executive meetings, including VIP attendee management and onsite event execution
- Develop event budget estimates and maintain budget tracking, forecasting, reconciliation, and reporting
- Partner with facilities, communications, production, and other internal teams to ensure event delivery
- Support in-person, virtual, and hybrid event experiences as required
- Maintain event documentation, planning tools, and operational processes
- Conduct post-event evaluations and identify opportunities for improvement and scalability
- Follow established processes and best practices to ensure consistency, repeatability, and operational excellence
Requirements:
- 5+ years of corporate meetings and events experience
- Proven experience planning and executing corporate events with 100+ attendees
- Experience with executive functions, customer programs, and employee engagement initiatives
- Demonstrated ability to manage multiple projects simultaneously in a fast-paced environment
- Strong budget management, forecasting, and reporting experience
- Experience managing vendors, venues, hotels, and production partners
- Strong project management skills with the ability to prioritize workstreams and drive execution
- Excellent written and verbal communication skills
- Proficiency with Microsoft 365 applications; Outlook, Teams, Excel, PowerPoint, and Word
- Experience facilitating cross-functional collaboration across multiple stakeholder groups
- Experience supporting virtual and hybrid events
- Experience with Cvent or similar event management platforms
- Certified Meeting Professional (CMP) designation
