Transaction Support Associate

This is a behind-the-scenes role at the heart of the real estate closing process, supporting a busy transaction management team that keeps home sale transactions moving forward accurately and on time. You'll partner closely with title companies, escrow companies, and HOAs to make sure every document, fee, and detail is handled with precision and care. It's a great fit for someone who enjoys structured, detail-driven work and wants hands-on exposure to real estate operations in a collaborative team environment.

Responsibilities

• Initiate earnest money and option fee wire transfers accurately and on schedule.
• Review and verify insurance claims, HOA demand documents, and solar panel agreements for completeness and accuracy.
• Research and resolve HOA litigations, violations, and demand discrepancies, escalating issues as needed.
• Coordinate work orders and guard gate access requirements, and validate final transaction documents prior to closing.
• Communicate with HOAs, title companies, and escrow companies by phone and email, using Zendesk and other internal tools to track and resolve outstanding items.

Qualifications

Required

• Strong attention to detail and comfort working within structured, compliance-driven processes.
• Proven ability to manage multiple concurrent tasks and deadlines while maintaining accuracy.
• Comfortable communicating directly with external parties, such as HOAs, title companies, and escrow companies, by phone and email.

Preferred

• Experience in title, escrow, mortgage, or real estate operations.
• Familiarity with HOA processes and documentation.
• Experience using Zendesk or similar ticketing/support tools.
• Interest in or experience with AI tools and automation in a professional setting.
