Position Overview:
We are seeking a detail-oriented Office Manager / Customer Service Supervisor to join our team. This is a hands-on working manager position responsible for supervising our customer service team while actively participating in customer service, order processing, and office operations.
The ideal candidate has experience working in a small business environment where flexibility, teamwork, and a willingness to pitch in wherever needed are essential. If you enjoy leading by example and providing outstanding customer service, we would love to hear from you.
Key Responsibilities:
• Customer Assistance: Provide knowledgeable and friendly support to customers via phone, email, and chat regarding air filter products, compatibility, maintenance, and order status.
• Team Leadership: Supervise and support customer service personnel, including both in-office and remote team members. Assist with training, workload management, and maintaining a positive team environment.
• Order Management: Assist customers with placing orders, tracking deliveries, maintaining calendars, and processing returns or exchanges.
• Office Administration: Assist with daily office operations, scheduling, customer communications, and general administrative functions.
• Product Knowledge: Maintain up-to-date knowledge of our air filter products and specifications to effectively answer customer questions and provide recommendations.
• Issue Resolution: Handle customer complaints and concerns with empathy and professionalism while working toward satisfactory resolutions.
• Record Keeping: Accurately document customer interactions, orders, and feedback in company systems.
• Team Collaboration: Work closely with sales, warehouse, purchasing, and management teams to ensure a seamless customer experience.
• Operations Support: Work closely with warehouse management to help ensure orders are processed accurately and efficiently. Willingness to assist wherever needed to support company operations and customer satisfaction.
Qualifications:
• Experience: Previous customer service experience required. Prior supervisory, lead, or office management experience preferred. Must be able to multitask in a fast-paced environment. Experience in distribution, manufacturing, HVAC, construction, or industrial products is a strong plus.
• Communication Skills: Excellent verbal and written communication skills with the ability to explain technical information in an understandable manner.
• Spanish speaking is a strong plus, but not required.
• Problem-Solving: Strong problem-solving abilities with a focus on customer satisfaction and resolution.
• Attention to Detail: High level of accuracy in order processing, record keeping, and follow-up.
• Technical Proficiency: Comfortable using customer service software and CRM systems. Proficient with Microsoft Office, Gmail, and general business software. Excel experience is helpful but not mandatory.
• Leadership: Ability to lead by example, manage priorities, and support team members while maintaining accountability.
• Attitude: Positive, patient, and proactive attitude with a strong commitment to customer service excellence. Ability to work well with others and contribute to a drama-free workplace.
