Clerical Aide

Job Summary

Performs a variety of financial and clerical support functions for the Recreation Department. Assists with procurement card reconciliation and recreation software management while providing exceptional customer service to patrons and staff. This position also performs general office support duties and maintains the flexibility to work evenings, weekends, holidays, and on adjusted schedules as needed.

Duties and Responsibilities
  • Receive, count, balance, and report recreation-based financial transactions using RecTrac software.
  • Maintain and reconcile departmental procurement credit cards.
  • Assist the Accounting Clerk III with recreation software management functions.
  • Provide outstanding customer service to the public and department staff at all times.
  • Answer and direct telephone calls in a professional manner.
  • Operate standard office equipment, including computers, scanners, adding machines, and copy machines.
  • Perform general clerical and administrative support tasks as assigned.
  • Ensure accuracy and accountability of financial transactions and departmental records.
  • Communicate effectively and professionally with staff, patrons, and vendors.
  • Maintain flexibility to work evenings, weekends, holidays, and modified schedules based on departmental demands.
  • Perform related duties and special projects as required.
Qualifications

Education

  • High school diploma or equivalent required.

Experience

  • General clerical experience required.
  • Experience with RecTrac software preferred.
  • Experience operating standard office equipment and personal computers preferred.
  • A comparable combination of training and education may be substituted for the minimum qualifications.

Key Competencies

  • Ability to type accurately from a rough draft at a minimum of 35 words per minute.
  • Strong customer service and interpersonal skills with the ability to interact effectively with adults and children.
  • Dependable, self-motivated, and detail-oriented.
  • Ability to maintain legible handwriting and accurate records.
  • Proficiency in the use of computers and standard office software/equipment.

Physical Requirements

  • Sedentary work requiring the ability to talk, hear, see, and read.
  • Ability to occasionally lift and move items weighing up to 10 pounds.
  • Work environment noise levels may vary depending on the recreation facility location.
Additional Information

Work Days/Hours: Monday – Saturday hours between 8:00 a.m. and 9:00 p.m. No more than 25 hours per week. May include some Sundays and holidays
