The Onboarding Specialist is responsible for managing and coordinating the full onboarding process for new hires across Telgian Engineering & Consulting, LLC. This role ensures a smooth, professional, and compliant onboarding experience for employees while partnering closely with HR, hiring managers, payroll, IT, and operations teams. The Onboarding Specialist plays a key role in creating a positive first impression and helping new employees successfully transition into the organization.

Your Opportunity

• Coordinate and manage all pre-employment and onboarding activities for new hires
• Prepare and distribute offer-related and onboarding documentation through HRIS and onboarding platforms
• Review and process employment documentation, including I-9s, E-Verify, tax forms, direct deposit information, and policy acknowledgements
• Coordinate background checks, drug screenings, and other pre-employment requirements
• Partner with hiring managers/IT to ensure timely onboarding schedules and equipment/setup needs are completed prior to employee start dates
• Serve as the primary point of contact for new hires during the onboarding process and answer onboarding-related questions
• Schedule and facilitate new hire orientation sessions
• Maintain accurate employee records and onboarding trackers within HR systems Coordinate with payroll to ensure new hire information is entered accurately and on time
• Monitor onboarding metrics and recommend process improvements to enhance efficiency and employee experience
• Support audits and maintain compliance-related documentation
• Assist with other HR administrative functions and special projects as assigned

Your Qualifications

• Bachelor’s degree Human Resources, Business Administration, or related field is required
• 2+ years of HR, onboarding, recruiting coordination, or administrative experience preferred
• Strong knowledge of employment eligibility verification (Form I-9), onboarding compliance, and HR best practices
• Experience working within HRIS, applicant tracking systems, and onboarding platforms preferred
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
• Excellent verbal and written communication skills
• High attention to detail and ability to handle confidential information with discretion
• Proficiency in Microsoft Office Suite and Adobe Acrobat
